About The Position

We are seeking a Senior Records & Materials Clerk to support operations within our Records and Materials Centres, which are responsible for the storage, management, and distribution of records, supplies, and materials. In this role, you will oversee the intake, storage, retrieval, preparation, and distribution of records and materials, while ensuring all transactions are accurately processed in supporting systems. You will also work with third-party suppliers and may perform advanced material finishing tasks. Duties are assigned on a rotational basis; therefore, thorough knowledge of all functions within the centre is required. This is a full-time, in-office position.

Requirements

  • High School diploma required
  • 1–2 years of related records, materials, warehouse, or administrative experience considered an asset
  • High level of accuracy and attention to detail, especially under deadlines
  • Strong communication and organizational skills
  • Proficiency with computers and systems, including Excel, SAP, digital scanning equipment, and record systems
  • Ability to stand for extended periods, bend, reach, grasp, crouch, and lift up to 50 lbs
  • Reliability Status Security Clearance – this can only be completed with candidates who receive an offer of employment. This is a personal security status that is required as a condition of employment before an employee can gain access to Protected B information, assets or work sites as outlined by the Government of Canada website. The cost of submitting these checks will be covered by Canada Life.

Responsibilities

  • Receive incoming records, supplies, and materials both physically and within applicable systems
  • Sort, shelf, and file materials according to established procedures
  • Process and fulfill material and records requests using designated systems
  • Retrieve materials from internal locations and third-party storage providers
  • Prepare records and materials for shipping to internal and external requestors
  • Update tracking systems and maintain accurate inventory and documentation
  • Prepare documents for scanning, ensuring proper handling of original paper and digital images
  • Index digital records within the designated repository, as required
  • Perform complex finishing tasks on materials prior to storage or distribution
  • Ensure compliance with handling, security, and record-management standards
  • Perform other related duties as assigned
