This role is for a Sr. Practice Administrator at the Rubino OB/GYN practice in West Orange, NJ.

Requirements

  • 4-year degree from an accredited college in business, healthcare, or related field.
  • 5 plus years of experience managing a high-volume practice, OB/GYN or Fertility specialty, preferred.
  • Experience managing a multi-site practice.
  • Experience managing 45 plus colleagues including 15 plus providers.
  • Knowledge of electronic billing process and medical insurance.
  • Experience with electronic health records (EHR) systems and healthcare information technology (eCW preferred).

Nice To Haves

  • OB/GYN or Fertility specialty experience.
  • Experience with eCW EHR system.

Responsibilities

  • Directing, supervising, and coordinating the overall clinical and business operations for the Care Center.
  • Directly overseeing 1 Care Center with multiple locations.
  • Participating in the strategic growth plan for the Care Center, assisting in the development and implementation of long-term business plans and initiatives to enhance practice growth and profitability.
  • Collaborating with clinical staff to develop and implement quality improvement initiatives, ensuring high-quality healthcare services and meeting or exceeding industry standards.
  • Driving achievement of operational KPIs (e.g., front-end denials, productivity increases).
  • Leveraging data (Tableau) to support care center decision-making.
  • Identifying trends and issues related to billing/payor concerns in collaboration with RCM partners, and presenting concerns with plans for resolution.
  • Leading or participating in MSO or regional-based initiatives or programs.
  • Developing, documenting, and implementing care center workflows to optimize operational efficiencies in collaboration with MSO supports.
  • Supervising the startup of new programs and revenue streams at the Care Center.
  • Facilitating ROI on potential revenue opportunities or expansion.
  • Overseeing the patient experience, driving improvement and action planning.
  • Managing patient complaints.
  • Ensuring adherence to cash management processes, including weekly deposits.
  • Managing expenses in accordance with set budgets (clinical and non-clinical) and making recommendations for saving opportunities.
  • Providing oversight for all spending (office supply, medical supply, etc.).
  • Ensuring POs are accurate in Coupa.
  • Working closely with the marketing team on projects related to the care centers, including oversight of social media activities, marketing events, and care center promotional materials.
  • Acting as a liaison with referring practices.
  • Managing compliance with regulatory and state governing bodies in collaboration with MSO supports (CLIA, OSHA, CDC, DOH).
  • Overseeing the colleague experience, driving achievement of colleague satisfaction targets.
  • Driving the colleague lifecycle (recruitment through separation).
  • Implementing staff recognition programs.
  • Managing performance.
  • Interpreting policies, objectives, and operational procedures.
  • Mentoring new care center managers and/or managers in training.
  • Overseeing provider support, including scheduling, on-call scheduling, reimbursement, PTO, etc.
  • Managing provider/physician credentialing.
  • Coordinating with the lead physician on care center matters.
  • Facilitating any needs that arise with Labor & Delivery or other departments at affiliate hospitals.
  • Managing facility maintenance/equipment.
  • Traveling 20% of the time.
