About The Position

NexaMotion Group (NMG) is seeking a dynamic and experienced Senior Payroll Specialist with deep expertise in ADP Workforce Now and extensive knowledge of U.S. and Canadian payroll, tax setup, compliance, filings, and remittances. This role ensures accurate and timely payroll processing while maintaining compliance with federal, state, provincial, and local tax regulations. The ideal candidate will thrive in fast-paced environments, be detail-oriented, analytical, and proactive in identifying and resolving payroll tax issues across both the U.S. and Canada.

Requirements

  • 8+ years processing high volume, multi-state payrolls.
  • Advanced knowledge of ADP Enhanced Time and WFN
  • Expert knowledge of US and Canada payroll, taxes, garnishments, and regulatory compliance.
  • High level of proficiency in Microsoft Office products, expert Excel skills: e.g., vlookup, IF statements, True/False, TRIM, SUM, as well as Pivot Tables, charts, drop down lists, etc.

Nice To Haves

  • Certified Payroll Professional (CPP) designation.

Responsibilities

  • Process multi-state and Canadian payroll using ADP Workforce Now, ensuring accuracy and compliance with company policies, regulatory, and union requirements.
  • Assist with U.S. and Canadian payroll tax liabilities, ensuring timely and accurate payments to tax authorities. Ensuring ADP is accurately set up to remit on NMG’s behalf.
  • Monitor and ensure compliance with FLSA, wage and hour laws, U.S. and Canadian tax regulations, and other payroll-related legislation.
  • Research and resolve payroll tax discrepancies, including amendments and adjustments, across both the U.S. and Canada.
  • Stay up-to-date with changes in U.S. and Canadian tax laws and payroll regulations, implementing necessary updates in ADP Workforce Now.
  • Partner with internal departments (HR, Finance, Accounting) to ensure seamless payroll operations and reporting.
  • Support U.S. and Canadian payroll audits and compliance reviews, providing necessary documentation and responses.
  • Administer and issue Canada Record of Employment forms.
  • Lead year-end payroll tax activities, including W-2, T4, and RL-1 processing and reconciliation.
  • Serve as a subject matter expert on U.S. and Canadian payroll tax issues, providing guidance to internal stakeholders.
  • Validate and approve ADP payroll processing invoices.
  • Completes Multisite reporting as required.
  • Calculates, processes and reconciles federal and state tax and social security withholding, and other deductions, insurance, benefits and 401(k) contributions, garnishments, child support, and court orders affecting employee compensation.
  • Provides guidance to management and team members on payroll policies and procedures.
  • Participates in appropriate payroll training, seminars and workshops to keep abreast of current trends and practices in human resources.
  • Maintains current knowledge and understanding of regulations, industry trends, best practices, and applicable laws affecting payroll administration.
  • Maintains positive relationships with team members at all levels within NMG.
  • Other duties as assigned to include some administrative tasks.
