About The Position

The Senior Payroll and Benefits Specialist is responsible for the accurate, timely, and compliant administration and processing of payroll for employees in the United States, Puerto Rico and Canada using ADP WorkForce Now. This position serves as the primary payroll subject matter expert and is responsible for all aspects of payroll processing, auditing, reconciliations, reporting, tax-related activities, payroll systems, file feeds, employee inquiries, and payroll compliance. The Senior Payroll Specialist will have strong hands-on experience with ADP Workforce Now (WFN) and will maintain all payroll-related aspects of SAP SuccessFactors (HRIS). This position is responsible for ensuring payroll-related employee data and integrations between SuccessFactors, ADP Workforce Now, and other applicable systems are accurate and functioning effectively. This role will also serve as a backup for benefits administration for US and Canada, supporting employees and HR with day-to-day benefits inquiries. The Senior Payroll & Benefits Specialist will support broader HR initiatives, projects, reporting, audits, and other HR responsibilities as business needs arise.

Requirements

  • Bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred; equivalent payroll experience may be considered.
  • 5+ years of progressive payroll experience, preferably in a senior or lead payroll capacity.
  • Strong hands-on experience with ADP Workforce Now (WFN).
  • Experience working with SAP SuccessFactors or a comparable HRIS, with responsibility for payroll-related employee data.
  • Experience processing payroll for employees in both the United States, Puerto Rico and Canada.
  • Experience with multi-state U.S. payroll.
  • Strong understanding of payroll taxes, garnishments, deductions, compensation changes, and payroll compliance.
  • Knowledge of U.S. federal, state, and local wage and payroll requirements.
  • Experience managing payroll file feeds, system interfaces, and payroll-related integrations.
  • Experience performing payroll audits and reconciliations.
  • Strong Microsoft Excel skills with the ability to work with and analyze large amounts of payroll data.
  • Excellent attention to detail and commitment to accuracy.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to manage competing priorities while meeting strict payroll deadlines.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and appropriately handle sensitive employee information.

Responsibilities

  • Manage and process payroll for employees in the United States, Puerto Rico and Canada accurately and within established payroll deadlines.
  • Manage all aspects of the payroll cycle, including reviewing, processing, auditing, balancing, and finalizing payroll.
  • Maintain payroll-related employee information within ADP Workforce Now and SuccessFactors.
  • Process and validate payroll-impacting changes, including new hires, terminations, compensation changes, promotions, transfers, bonuses, deductions, and employee status changes.
  • Review employee timekeeping information, paid time off, overtime, and other payroll-related data before payroll processing.
  • Process tax withholdings, retirement contributions, benefit deductions, and other authorized deductions.
  • Review payroll registers, reports, and exception reports for accuracy before final payroll submission.
  • Perform post-payroll audits and reconciliations to identify and resolve discrepancies.
  • Process off-cycle payrolls, corrections, and adjustments as necessary.
  • Research and resolve payroll discrepancies and employee payroll questions in a timely and professional manner.
  • Maintain accurate payroll records and supporting documentation.
  • Coordinate payroll activities across multiple states, provinces, locations, and employee populations.
  • Ensure final pay is processed in accordance with applicable federal, state, provincial, and local requirements.
  • Maintain strict confidentiality of payroll, compensation, tax, and employee information.
  • Ensure payroll practices comply with applicable U.S. federal, state, and local payroll, tax, and wage requirements.
  • Maintain knowledge of Canadian federal and provincial payroll requirements.
  • Monitor changes in payroll laws and regulations and implement or recommend necessary payroll processes and system changes.
  • Coordinate payroll tax activities and work with ADP and other applicable vendors to research and resolve tax issues.
  • Review payroll tax notices and coordinate appropriate responses, corrections, and follow-up.
  • Support quarter-end and year-end payroll activities for both U.S. and Canadian employees.
  • Coordinate the preparation, review, and distribution of year-end payroll documents, including W-2s and T4s, as applicable.
  • Support required payroll filings, audits, and compliance activities.
  • Maintain payroll documentation in accordance with applicable record-retention requirements.
  • Reconcile payroll totals following each payroll cycle.
  • Partner with Finance and Accounting to ensure payroll information is accurately recorded.
  • Research and resolve payroll and general ledger discrepancies.
  • Prepare recurring and ad hoc payroll reports for HR, Finance, Accounting, and leadership.
  • Provide payroll data for audits, budgeting, compensation analysis, workforce reporting, and other business needs.
  • Review payroll trends and data to identify potential errors, inconsistencies, or areas requiring additional review.
  • Support month-end, quarter-end, and year-end payroll reconciliations.
  • Assist with payroll-related accruals and reporting as required.
  • Serve as the primary payroll subject matter expert for ADP Workforce Now (WFN).
  • Maintain payroll-related employee data and payroll system configurations.
  • Troubleshoot payroll system issues and partner with ADP support when necessary.
  • Maintain appropriate payroll system controls, processes, and documentation.
  • Identify opportunities to improve payroll processes through increased utilization of ADP Workforce Now functionality.
  • Participate in testing ADP system changes, upgrades, integrations, configurations, and enhancements.
  • Maintain payroll procedures, process documentation, and standard operating procedures.
