About The Position

The Leadership Conference is seeking a Sr. Membership & Engagement Assistant to join our Membership & Engagement Department. Reporting to the VP, Membership & Engagement, t he ideal candidate will have experience supporting and developing systems to accomplish a variety of administrative tasks, supporting the organization’s membership and priority issues. The Sr. Assistant will have the opportunity to help build and monitor the administrative infrastructure critical to the organization’s membership and priority issues, while also supporting outreach and engagement efforts with allied organizations. This position is an individual contributor and is a part of the collective bargaining unit.

Requirements

  • A minimum of 3 years of membership and engagement, or related services, organizing, outreach, and/or advocacy experience is required, and in nonprofits is preferred.
  • An Associate’s degree or equivalent in education and experience.
  • The ability to coordinate multiple administrative tasks under tight deadlines is required.
  • Experience in MS Office, including Word and Excel, Google Drive applications, and Internet research tools.
  • Strong communication skills with a high degree of self-motivation and ability to work independently.
  • Robust skillset in planning and coordination with various levels within the organization and external stakeholders.
  • Desire and ability to work with diverse groups of people.
  • Ability to manage a complex workload and organize time efficiently.
  • Excellent interpersonal skills and ability to get along well with all staff.
  • A demonstrated commitment to civil and human rights.

Responsibilities

  • Provide strategic management and oversight of the Vice President’s schedule, make determinations on scheduling priorities, and provide support for preparation for and follow-up from meetings.
  • Coordinate logistics (e.g., reserving conference rooms, ordering food, duplicating materials, managing Zoom calls) and provide support for meetings, convenings, and conferences with coalition and allied organizations at the national and state levels. This also includes reserving travel and accommodations as needed.
  • Provide administrative support for department activities, programming, and events, such as briefings and department retreats, including coordinating logistics and the planning process for the agenda.
  • Draft and/or edit invitations, emails, and other communications for the coalition and other allied organizations, including The Dispatch newsletter.
  • Track activities for the membership work plans and tracking grids; manage department calendar; and share these documents.
  • Manage and maintain listservs/mailing lists for the Membership & Engagement Department.
  • Track and process memorandums of understanding, invoices, and other documents, and share best practices with Department staff.
  • Coordinate ordering supplies and materials, including working with outside vendors, shipping services, etc.
  • Perform other duties as necessary and related.
