About The Position

The department of Plastic and Reconstructive Surgery is seeking a Sr. Medical Office Coordinator to manage the day-to-day activities of a multi-faceted surgical practice. This role is crucial for ensuring a smoothly functioning office and positive patient relations. The coordinator will adapt to changes in technology and software to maintain efficient office practices, support surgeons in optimizing their operating room and clinic time, and provide administrative support for both medical and general academic matters on behalf of physicians.

Requirements

  • High school diploma or graduation equivalent
  • Three years progressively responsible medical office experience.
  • Intermediate computer and proofreading skills.
  • Able to work independently.
  • Support fellow staff members and promote team success.

Nice To Haves

  • Two years college or equivalent work experience.
  • Knowledge of patient registration and scheduling in Epic.
  • Experience in the Johns Hopkins system strongly preferred.

Responsibilities

  • Coordinate with patient and hospital for complex procedure scheduling, including surgery dates, office visits, and preparation/dissemination of pre-operative and hospital admission information.
  • Collect insurance information and complete surgery scheduling and registration in EPIC.
  • Support the physician with insurance preauthorization and single case agreement processes by submitting necessary clinical information as instructed.
  • Coordinate follow-up office visits by providing information about treatment and testing locations.
  • Schedule lab tests and other procedures, or coordinate with other areas to complete the scheduling process.
  • Coordinate with Access Services and Patient Service Coordinators to reschedule physician and/or testing appointments for canceled clinics.
  • Coordinate with patient and/or referring physician to obtain outside medical records.
  • Refer patients to appropriate resources.
  • Review clinic schedules and make adjustments as appropriate.
  • Act as a liaison for patients, coordinating future consultations, diagnostics tests, or procedures.
  • Professionally and efficiently manage incoming calls and requests from patients, surgeons, and fellow staff members to ensure prompt and thorough issue resolution.
  • Provide quality service and support to patients in areas such as scheduling, registration, and care coordination.
  • May require travel to multiple work sites.
  • Perform other duties as required.
