About The Position

The Administrative Assistant is a trusted partner providing direct support to the functional Pillar Leads within Legal & External Affairs (LEA) and a key contributor to the overall operational effectiveness of the function. Given the scope, pace, and sensitivity of the work, this role requires sound judgment, discretion, and the ability to independently manage work across multiple leaders, functions, and external stakeholders. This individual will operate with autonomy and confidence, proactively anticipating leadership needs and ensuring seamless coordination and execution of priorities.

Requirements

  • Bachelor’s degree or an equivalent combination of education and relevant experience
  • 10+ years of experience providing high‑level legal administrative support to senior leaders in a fast‑paced, highly collaborative environment; experience supporting legal, regulatory, or corporate functions is a plus
  • High level of proficiency with Microsoft Office tools and collaboration platforms (Outlook, Word, PowerPoint, Excel, Teams)
  • Strong attention to detail, with the ability to manage complex coordination, meetings, and deadlines and consistently follow through on commitments
  • Excellent written and verbal communication skills, with the confidence and judgment to work effectively with stakeholders at all levels, including external partners
  • Demonstrated ability to manage sensitive and confidential information and complex initiatives requiring strong judgment, discretion, and initiative
  • Highly organized and dependable, with strong time‑management skills and the ability to adjust priorities as business needs change.
  • A positive, solutions‑oriented approach, with a willingness to take ownership, support others, and contribute to continuous improvement

Responsibilities

  • Provide administrative support to the Legal & External Affairs Pillar Leads through proactive coordination, planning, and execution of day‑to‑day priorities
  • Manage calendar and scheduling needs for Pillar Leads, including coordination with executive‑level stakeholders across the company and, when required, external parties
  • Coordinate travel arrangements and manage expense reporting for Pillar Leads, ensuring accuracy, compliance, and timely reconciliation
  • Serve as a central coordination point for the Legal & External Affairs department interview processes, including scheduling and logistics
  • Support the Legal & External Affairs department by coordinating onboarding and offboarding activities in partnership with hiring managers and cross‑functional teams
  • Partner with Pillar Leads on communications and document coordination, managing sensitive and confidential information with professionalism and discretion
  • Support departmental operations, including office logistics, document services, mail and courier access, and coordination of key administrative processes
  • Provide administrative coordination for Legal & External Affairs engagement activities and leadership events, as needed
  • Assist with legal and specialist administrative matters, including document routing, signature coordination, and other time‑sensitive actions requiring accuracy and confidentiality
  • Serve as a trusted point of contact within Legal & External Affairs, contributing to process improvement efforts and providing backup support across administrative functions as needed
