This role is responsible for the administration of employee group benefits, leave, and compensation programs, interacting with providers, brokers, and employees to support existing programs, research changes, and provide analysis on policy effectiveness.

Requirements

  • Bachelor’s degree required in Human Resources or related field.
  • 2 to 5 years relevant experience.
  • Strong analytical skills with the ability to interpret benefits data, identify trends, and spot discrepancies.
  • Working knowledge of ERISA, HIPAA, COBRA, Section 125, ACA, and applicable state/federal leave laws.
  • Solid understanding of U.S. health & welfare plans, retirement plans, and leave administration practices.
  • Excellent written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Excel (VLOOKUP/XLOOKUP, pivot tables, data validation).
  • Experience with HRIS and benefits administration platforms (e.g., Dayforce, Workday, UKG, carrier portals).

  • Experience supporting or coordinating benefit programs in multiple countries.

Responsibilities

  • Administer US and Canadian health and welfare benefits.
  • Coordinate companywide open enrollment meetings and update systems with new plans and rates.
  • Serve as a liaison between employees, brokers, and insurance carriers.
  • Handle benefits inquiries from management, employees, and brokers.
  • Audit, reconcile, and process benefit invoices, including onboarding and offboarding employees.
  • Prepare the benefits portion of exit packages and notify vendors of termination.
  • Ensure plan and rate accuracy, update and maintain the Benefits SharePoint with holiday schedules and benefit/wellness information.
  • Monitor benefits eligibility and communicate enrollment opportunities to newly eligible employees, including compliance documents.
  • Escalate ADA potential leave cases to the Manager.
  • Prepare census data for required 5500 filings for health and welfare benefits.
  • Perform quarterly audits between benefits and payroll.
  • Administer and maintain ERISA wrap plan documentation, ensuring compliance.
  • Coordinate and monitor nondiscrimination testing for benefit plans and address corrective actions.
  • Support and contribute to the planning and execution of wellness events.
  • Maintain and update the Wellness SharePoint.
  • Distribute health and welfare flyers or communication pieces to inform employees about company benefits.
  • Administer the 401(k) plan, track open enrollments, loans, and deferrals, and audit against payroll.
  • Oversee 401(k) eligibility tracking, ensure timely employee notification, and distribute required plan and compliance documentation.
  • Complete census and nondiscriminatory testing for the 401(k) plan.
  • Administer the Canadian RRSP plan.
  • Facilitate 401(k) audits.
  • Distribute compliance communication regarding retirement benefits.
  • Administer and track employee leave of absence following a checklist, prepare case-specific LOA packages, and deliver timely correspondence.
  • Utilize Dayforce to track all leaves and upload documents into employee files.
  • Accurately track owed benefit premiums and manage timely collection of payments.
  • Complete incoming disability, paid family leave, or other wage correspondence.
  • Work closely with team members on accurate benefit deductions, including 401(k) loan payments and premium payments during leave of absence.
