About The Position

The Supervision group at the Federal Reserve Bank of San Francisco is seeking a Sr. Executive Assistant for a one-year temporary assignment to support the Supervision Officer team. This role involves providing senior-level administrative support to a team of 350 employees and their officers. The ideal candidate will be exceptionally organized, possess strong executive assistant experience, and have an instinct for prioritizing and managing busy leaders' needs. Beyond administrative expertise, a deep understanding of building relationships and networks within a large organization is valued. The role also requires engagement in the work, with a proactive approach to improving meeting efficiency and effectiveness, and a willingness to challenge the status quo for better outcomes.

Requirements

  • Associate’s degree or equivalent work experience as an Executive Assistant.
  • Typically requires six or more years of related professional experience.
  • Proven ability to communicate effectively across all levels within an organization.
  • Knowledge of Office365, MS Excel, Word, Outlook, and OneNote.
  • Able to work both independently and with a team.
  • Ability to multi-task, maintain attention to detail, and maintain a professional demeanor and positive attitude.
  • Expert-level calendar management and ability to juggle competing priorities.
  • Strong organizational skills with meticulous attention to detail.
  • Proactive mindset—you anticipate needs before being asked.
  • Flexibility to adapt when priorities shift.
  • This position requires access to confidential supervisory information, which is limited to “Protected Individuals.” Protected Individuals include, but are not limited to, U.S. citizens and U.S. nationals, U.S. permanent residents who are not yet eligible to apply for naturalization, and U.S. permanent residents who have applied for naturalization within six months of being eligible to do so or who will sign a declaration of intent to apply for naturalization before they begin employment.

Responsibilities

  • Provided senior-level administrative support to the Supervision Officer team.
  • Proactively manage Officer team schedules, travel arrangements, and correspondence and route sensitive and priority items on a timely basis.
  • Ensure the Officer team is fully informed and prepared in advance with pertinent documents for meetings and events.
  • Use your whole skillset (administrative, critical thinking, technology) and knowledge to help maximize the usefulness of Officer and Group meetings. Experiment and create new approaches to structure and organize these meetings for maximum ROI.
  • Coordinate internal and external meetings. This may include scheduling meeting times, making travel arrangements for attendees, arranging onsite logistics, and ensuring that various meeting amenities are available.
  • Support the executives and broader organization with excellent verbal and written communication skills, collaborating to deliver key communications through various channels.
  • Collaborate with team of administrative professionals to provide a range of administrative support (e.g., host external guests in SF and other branch offices, coordinate for System meetings, large group events and conferences, procure office supplies and balance invoices, and ad hoc administrative projects) across Supervision.
