About The Position

Opus Agency is a global event agency seeking a Sr. Event Technology Project Coordinator to join their Event Technology & Registration team. This role will support and project manage event registration and attendee-facing digital platforms, working with clients to build and launch digital event experiences. The coordinator will manage the attendee registration process, provide customer service, manage attendee data, and support onsite operations such as badge pick-up and help desks. The role requires the ability to manage one's own work and potentially a small team, ensuring deadlines are met, budgets are maintained, and client needs are exceeded. The Event Technology & Registration team partners with major brands like Microsoft, Google, and Salesforce, aiming to shape the future of event marketing in an AI-infused world.

Requirements

  • 2-3+ years of experience in a relevant role.
  • Proven experience in coordination of projects or events successfully from concept to execution.
  • Strong critical thinking, organizational, and analytical capabilities.
  • Ability to manage own time to meet project deadlines and support others in meeting their project deliverables.
  • Strong verbal and written communication and presentation skills, exhibiting confidence.
  • Ability to effectively prioritize workload on multiple projects and events simultaneously.
  • Ability to successfully perform in high stress, fast-paced environment.
  • Ability to accept changes with short notice and tolerate frequent interruptions.
  • Ability to maintain high levels of confidentiality.

Responsibilities

  • Support and project manage event registration and attendee-facing digital platforms.
  • Work with clients and stakeholders to scope, build, launch, and maintain digital event experiences.
  • Actively manage the attendee registration process.
  • Support event attendees through customer service.
  • Manage attendee data and reporting.
  • Support and manage onsite operations for related workstreams, including badge pick-up/attendee check-in, attendee help desk, session scanning deployment, and content management functions.
  • Independently manage one's own work and manage a small team's deliverables over extended planning cycles.
  • Ensure planning deadlines are proactively met, budgets are maintained, Opus and client processes are implemented, and client needs are anticipated and exceeded.
  • Lead the customer service workstream within a project, supporting helpdesk personnel, creating resources, and serving as an escalation and triage point.
  • Serve as the primary point of contact for clients, internal stakeholders, and/or vendors for all event technology and registration workstreams.
  • Serve as overall Event Technology and Registration lead on small to mid-sized projects, and as a workstream lead on large projects.
  • Oversee all assigned tasks on multiple concurrent projects across event types.
  • Develop, maintain, and drive workback schedules.
  • Lead and support the planning, execution, and closeout of attendee-facing event technology projects, primarily for registration websites, but potentially including content/session scheduling, session scanning, exhibitor resource centers, speaker resource centers, and mobile apps.
  • Demonstrate proficiency in digital platforms and tools; understand functionality, user experience, and troubleshooting; consult clients on user experience best practices with support.
  • Create and maintain internal process documentation, ensuring team members are aligned and following established processes and procedures.
  • Manage and support documentation and content for platform/tool builds, translating business objectives into detailed technical specifications, documented processes, and project plans.
  • Lead recurring client and team meetings, and participate in platform demos and technical discussions within area of expertise.
  • Proactively identify potential risks and develop robust mitigation strategies, escalating critical issues to senior management as appropriate.
  • Deliver projects within time and budgetary requirements.
  • Oversee complex onsite deployments, including for badge pick-up, session scanning, and other event technology workstreams.
  • Participate in internal trainings and creating resources; recommend process and resource improvements.
  • Oversee work of temporary staff deployed onsite at events.
