About The Position

Reporting to the Associate Dean of Programs and Innovations of Professional and Continuing Studies (PCS), the Sr. Department Assistant provides high-level administrative and operational support to the PCS’s Enrollment Team. This role is responsible for coordinating student enrollment processes, scheduling academic advising sessions, managing new-student orientation logistics, and maintaining communication among prospective students, advisors, and enrollment staff. The position ensures efficient workflow in the enrollment office and helps maintain a positive, organized experience for prospective and incoming students. By supporting coordination of enrollment activities and student services, the Senior Department Assistant plays a key role in enabling the university to recruit, enroll, and retain students. This position may require evening and weekend work, as well as auxiliary coverage when needed. Occasional travel to and/or assignment at other campuses is required (including for additional training).

Requirements

Nice To Haves

  • Bachelor’s degree strongly preferred.
  • Knowledge of Slate / Banner systems or comparable University student/ CRM systems a strong plus.

Responsibilities

  • Contributes to a welcoming and helpful environment for students, faculty, and staff.
  • Prepares mailings to prospective students, applicants, admitted students, and external community contacts as needed.
  • Manages calendars for the Associate and Assistant Deans autonomously, scheduling appointments with prospective, new, current, and transfer students as needed.
  • Provides support before and during PCS events, including but not limited to information sessions, orientations, and industry events.
  • Maintains privacy and discretion for confidential documents, including transcripts, immunization records, military records, and disciplinary actions.
  • Processes confidential information in compliance with FERPA.
  • Processes approved requests for payments for contracts, expense reimbursement requests, credit card statements, check requests, vendor invoices, subscriptions, and other items.
  • Generates reports and researches/collects data as requested.
