About The Position

The Sr Coordinator plays a critical role in supporting cross-functional project execution, stakeholder engagement, and departmental operations. This position serves as a central communication hub, ensuring accurate information sharing and timely follow-up across internal teams and external vendors. The Sr Coordinator also maintains key project documentation, supports procurement and administrative processes, and assists in driving efficiency throughout the design and production lifecycle of New Ventures initiatives.

Requirements

  • 2+ years of experience in project coordination, operations, or a similar administrative/project support role
  • Experience working in cross-functional environments (ideally in themed entertainment, construction, design, or similar project-based industries)
  • Strong familiarity with tools like Office 365 suite, Smartsheet, or similar systems
  • Requires tact and diplomacy as regular attendance at Senior Leadership meetings is required.
  • Attends weekly, bi-weekly, monthly staff meetings of various departments within UDX in order to obtain updates, understanding and greater knowledge of products, systems, initiatives.
  • Must have excellent written and oral communication skills. Ability to compose written briefings for distribution to all levels.
  • Knowledge of Microsoft Office Suite, SharePoint, and internal sites utilized by New Ventures.
  • Consistent attendance is a job requirement.

Responsibilities

  • Coordinate communication between New Ventures, external vendors and/or departments within Universal including key stakeholders. Facilitate communication by attending meetings as required, distributing timely notes and action items, and providing regular updates to partners and/or New Ventures Leadership. Build and maintain strong relationships with key stakeholders to foster open communication, trust, integrity and alignment across all parties.
  • Maintain the New Ventures information in SharePoint, Smartsheet, ACC, Excel and other similar programs in interdepartmental varieties. Ensure information contained within the database(s) is updated and posted in a timely manner, maintaining consistency and integrity. Maintain contact with available resources and update data as needed while tracking and proactively communicating changes to relevant parties.
  • Conduct research on potential suppliers and sources for requested items, provide alternative recommendations when needed, compile supporting documentation and present necessary additional information based on technical specifications. Assists New Ventures leadership on “specialty project” and ad hoc assignments as assigned.
  • Provides clerical support, direction, guidance, and/or training to the department. Creates presentations and/or corresponding materials. Serves as a liaison with other departments in acquiring and maintaining hardware and software, supplies and other logistical needs through standard operating procedures. May assist with coordinating meetings, corresponding department calendars and/or set appointments. Makes travel and/or training arrangements when necessary. Completes expense reports.
  • Assist New Ventures project teams to determine and track weekly production deliverables and resources throughout the project design, production and installation phases. Responsible for identifying ways to improve the efficiency/accuracy of the project documentation process which is critical to the maintenance of overall project schedule.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UDX policy, procedures, training, and team member involvement activities.
  • Perform other duties as assigned.
