About The Position

We are seeking a highly organized, proactive, and service-oriented Senior Coordinator to provide executive-level support to senior leaders across Media Strategy and Creative Services, while also supporting day-to-day departmental operations. This role blends administrative excellence with cross-functional coordination, helping ensure leaders and teams operate efficiently and effectively. Executive Support Provide administrative support to SVP of Media Strategy & Planning & SVP of Creative & Campaign Management, including scheduling, calendar management, travel coordination, expense processing, and meeting logistics. Prepare materials for internal and external meetings (e.g., decks, agendas, reports). Manage sensitive information with discretion and maintain executive priorities. Act as a liaison across departments to ensure efficient information flow and alignment on cross-functional initiatives. Media Strategy & Creative Support Responsible for the accurate receipt, processing, and submission of invoices, as well as the preparation and submission of monthly accruals to support timely and accurate financial reporting. Assist with the development and assembly of marketing campaign decks by organizing content, creating and refining presentation slides, and ensuring messaging, branding, and visuals align with campaign objectives and brand standards. Assist with saving, organizing, and archiving documents in their designated locations, ensuring files are accurately labeled, properly stored, and easily retrievable in accordance with organizational standards. Attend, Set Up and Participate in media briefing sessions, status meetings, agencies/vendor meetings, internal show meetings. Collaborate cross functionally with various marketing departments on holistic plans. Provide support to the larger media organization on ad hoc initiatives and special requests.

Requirements

  • 2–4 years of administrative or coordinator-level experience supporting multiple stakeholders, ideally in a fast-paced or creative industry.
  • Interest or background in media, planning, or internal communications.
  • Exceptional organizational skills and the ability to juggle priorities with professionalism.
  • Strong communication skills, both written and verbal, with a service-first mindset.
  • Proficiency in Microsoft Office, and tools similar to SharePoint, DocuSign, Workday, Concur, Airtable, Google .
  • Discretion and integrity when handling confidential information.
