About The Position

The City of Fort Worth, Transportation and Public Works Department in the Business Support Division, is seeking a highly skilled Sr. Administrative Assistant to provide high-level administrative support with a focus on complex fiscal tasks, budget analysis, and project reconciliation. This role requires strong organizational skills, attention to detail, and a solid understanding of government purchasing procedures, municipal accounting practices, and applicable federal, state, and local regulations. The ideal candidate is proactive, adaptable, and capable of handling shifting priorities in a fast-paced environment.

Requirements

  • Bachelor’s degree from an accredited college or university with major coursework in public administration, business administration, human resources, or a related field
  • Three (3) years of increasingly responsible administrative and fiscal management experience supporting developer funded infrastructure or capital project financial management
  • One (1) year in a supervisory or lead capacity
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), with extensive experience using Excel to create pivot tables, link data, and conduct analyses

  • Financial monitoring, reconciliation, capitalization, and project closeout
  • Accounts payable, purchasing, contract management, and budgeting experience
  • Knowledge of various enterprise software packages such as PeopleSoft, Trimble Unity Construct (eBuilder), JD Edwards, etc
  • Knowledge of governmental purchasing procedures and municipal accounting practices
  • Construction accounting and processing construction payment applications
  • Demonstrated knowledge of lean principles and exceptional customer service

Responsibilities

  • Provide financial and administrative support throughout the lifecycle of Community Facilities Agreement (CFA) and related capital projects
  • Collaborate with Development Services, Budget, Financial Management Services (FMS), and other City departments to process developer deposit appropriations, budget transfers, journal entries, and project funding requests
  • Monitor project revenues, expenditures, and available funding; identify potential shortfalls and process timely funding adjustments
  • Reconcile CFA funding sources and assist with project closeout activities, including balancing project funds, inactivating project codes, and maintaining closure documentation
  • Review and process CFA final documents, invoices, and project records to ensure financial accuracy, completeness, and compliance with established procedures
  • Manage SharePoint requests related to budget appropriations, inspection funding, and project closeout
  • Maintain accurate financial records, project trackers, closure lists, and status reports for management and departmental partners
