About The Position

McKesson is seeking a Senior Administrative Assistant. The Sr. Administrative Assistant provides administrative support to the VP, Customer Performance Management Transformation and VP, SCO Strategy, and other members of their direct leadership team with daily requirements. Main duties include managing leaders’ agenda, planning and organization of meetings and trips, including all logistics (reservations, travel, and expense reports, etc.) Duties include organizing schedules, coordinating information and being in contact with all persons concerned. Prepare presentations and validate information. At times acts as the liaison between the leaders, the company’s other departments.

Requirements

  • Typically requires 5+ years of related experience.
  • HS Diploma, Vocational Training, Professional Certification or Equivalent.
  • Experience providing administrative support to corporate leaders in a large organization.
  • Experience arranging airline, hotel and car rental reservations and expense reporting and management.
  • Experience working in a dual project-based and task-oriented role.
  • Advanced proficiency with MS Office (Outlook, Word, Excel. PowerPoint, One Drive and SharePoint across devices).
  • Advanced proficiency with WebEx Conference and Microsoft Teams tools across multiple devices.
  • High degree of flexibility, adaptability, confidentiality, discretion, diplomacy, and tact.
  • Ability to handle confidential information and exercise sound judgment is critical.
  • Attention to detail.
  • Ability to work under general direction, on multiple tasks with demanding timelines.
  • Event planning experience (small events).
  • Strong organizational and time management skills are necessary to prioritize assignments and multi-task.
  • Professional, calm demeanor and presentation, with strong interpersonal skills, along with excellent verbal and written communication skills.
  • Strong sense of urgency.
  • Collaborative and team-based approach to problem solving.
  • Must be authorized to work in the US unrestricted – This position is not eligible for sponsorship.

Responsibilities

  • Keep the leaders’ agenda organized and to date, plan and remind them of meetings.
  • Organize trips for the leaders (flights, hotel, restaurant, car reservations, etc.).
  • Organize meetings: reservation of rooms, meals, etc. as required.
  • Prepare meeting agendas and ensure that all meeting material is ready prior to each occurrence.
  • Transcribe meeting notes and follow ups, when applicable.
  • Participate in the preparation, revision, writing, translation, if necessary, and production of presentations.
  • Handles details of confidential and critical nature.
  • Participate in the preparation and maintenance of files.
  • Archive and classify documents in appropriate files.
  • Prepare expense accounts and submit them for approval.
  • Complete and update end of month and quarterly reports.
  • For the hiring of new employees, ensure that requests are made within the required time for: workspace, computers, various supplies, cell phone and organize the employee’s “Orientation.”
  • Participate in the management of work schedules (vacations, illness, etc.) and ensure replacements during absences.
  • Maintain group distribution lists.
