About The Position

The Senior Administrative Assistant will support approximately five senior leaders on the Internal Audit team. This role is responsible for calendar management, meeting coordination, travel arrangements, expense reporting, office and records management, visitor support, invoice and purchase order processing, and Business Segment Liaison activities as assigned. The ideal candidate is detail-oriented, highly organized, and able to manage competing priorities with professionalism and discretion. This position follows a hybrid schedule with four in-office days per week in Eden Prairie, MN.

Requirements

  • 3+ years of administrative support experience
  • Intermediate proficiency with Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and Teams
  • Experience managing multiple priorities, tasks, projects, and deadlines simultaneously with solid attention to detail
  • Proven excellent verbal and written communication skills, including grammar, proofreading, and professional correspondence
  • Ability to work a hybrid schedule in the Eden Prairie, MN office four days per week

Responsibilities

  • Maintain calendars and coordinate meetings for senior leaders, proactively resolving scheduling conflicts across the enterprise
  • Schedule and set up resources and technology for meetings and events, including conference rooms, virtual meeting tools, and telepresence
  • Coordinate travel arrangements, including air, hotel, ground transportation, office space, and related logistics
  • Prepare, track, and submit expense reports
  • Handle confidential information with sensitivity and discretion
  • Interact with individuals at all levels of the organization and represent the team with professionalism and integrity
  • Independently perform varied administrative duties in support of the Internal Audit function
  • Manage office documents in accordance with enterprise records management procedures
  • Manage, monitor, and procure office supplies, goods, and services as needed
  • Greet visiting clients, guests, and employees
  • Collaborate with administrative support team members to provide backup support as needed
  • Complete invoice document management and payment processing
  • Perform Business Segment Liaison activities as needed, including hardware/software acquisition and disposal, new employee onboarding, office moves, and related office management responsibilities
  • Enter and submit purchase orders into relevant systems, such as ARIBA, using pre-approved vendors
  • Accept deliveries and ensure supplies are distributed to the appropriate resources
  • Complete additional tasks and deliverables on time and with high quality, including reporting, vendor management, weekly team communications, and organizational materials such as phone lists, seating charts, and requisition lists
