About The Position

This full-time, New York City-based role will support the planning, coordination, and execution of experiential events for an award-winning spirits portfolio of brands. Responsibilities include managing day-to-day activation needs, assisting with strategic and administrative planning, and providing guidance to an Account Executive where applicable.

Requirements

  • Bachelor’s Degree
  • 4-6 years of experience in event planning/execution or at an experiential marketing agency.
  • Passion for events and hospitality
  • Proven leadership and people-management skills; experience mentoring and developing junior staff
  • Exceptional communication/organizational skills with a keen eye for detail
  • Proficient in Microsoft Office, Excel, PowerPoint, Word, Outlook
  • Ability to prioritize and multi-task in a fast-paced, team-oriented environment
  • Have strong written, verbal, and public speaking skills
  • Ability to own projects autonomously and take pride in the work you create and share
  • Be a self-starter, outgoing, energetic, and demonstrate a proactive, solution-oriented mindset
  • Metro New York-based. Be in our NYC office with hybrid schedule (minimum two days per week)

Nice To Haves

  • Prior spirits experience is preferred
  • Experience within the service industry a plus
  • Familiarity with project-management tools (e.g., Microsoft Teams, Monday.com, or similar); and reporting/analytics systems (e.g., BenchMark, or similar), a plus

Responsibilities

  • Provide day-to-day guidance, support, and feedback to an Account Executive, helping ensure program details, timelines, and deliverables stay on track.
  • Collaborate cross-functionally with internal partners (e.g., Creative, Production, Finance) to orchestrate end-to-end planning, development, and activation of client programs/events.
  • Serve as the primary client lead for designated projects, owning client relationships and managing expectations, qualifying new program briefs, and being a strategic partner.
  • Oversee and negotiate vendor contracts, Statements of Work (SOWs), and partner relationships; identify and qualify new vendors and partners as necessary.
  • Assist with managing related vendors and partners to support programs/events (e.g.; artistic talent, photographers/videographers, photobooth vendors, etc.).
  • Own budgeting lifecycle: develop budgets, manage expenses, forecast and monitor P&L, and reconcile/approve client billings and vendor invoices.
  • Oversee and empower Account Executive to produce status reports, meeting agendas, and weekly schedules
  • Lead internal SoHo and external client program/event debriefs to identify key learnings and forward recommendations for comprehensive recaps post-execution.
  • Develop, implement, and report on all experiential programs against client-provided KPIs while managing workback timelines.
  • Travel to events to ensure end-to-end execution quality and serve as the primary client liaison on-site.
  • Liaise with other SoHo departments to ensure all ways of working are being followed.
  • Proactively recommend enhancements to internal workflows and client-facing processes to better serve agency and client needs.
