About The Position

The Sports Site Coordinator oversees the daily operations of YMCA soccer programs, including staff supervision, hiring, scheduling, payroll, and participant communications. This position ensures quality program delivery, supports staff development, and serves as a leadership resource for program participants, families, and employees.

Requirements

  • Must hold and present a copy of USSF certifications or licenses, expired documents will not qualify.
  • Basic knowledge of organizational practices, customer service, public relations, and interpersonal communication.
  • Ability to supervise, motivate, and work collaboratively with volunteers, participants, and staff.
  • Ability to work independently, prioritize tasks, and stay focused on assigned responsibilities.
  • Strong communication skills and the ability to maintain professional relationships with participants, parents, staff, and community members.
  • Commitment to the YMCA mission, values, and standards of conduct.
  • Must obtain or present a current CPR certificate within 30 days of hire.
  • Must be able to complete and maintain certification in CPR and First Aid; able to assist individuals in need until professional help arrives.
  • Ability to quickly identify emergency situations (medical, fire, environmental, etc.) and respond appropriately following established procedures.
  • Required to report all safety incidents and hazards immediately and accurately to supervisors.
  • Commitment to maintaining a safe, clean, and hazard-free environment for all staff, members, and participants.
  • Must be able to perform physical tasks related to safety, including assisting individuals of various ages and physical abilities.
  • Follow all YMCA safety protocols, OSHA standards, and state/local regulations as applicable.

Responsibilities

  • Assist with the recruitment, hiring, onboarding, and training of soccer program staff.
  • Develop and maintain staff schedules to ensure appropriate program coverage.
  • Review and submit payroll information accurately and on time.
  • Manage program-related emails, phone calls, and communications.
  • Serve as the primary point of contact for participant, parent, and staff inquiries.
  • Maintain program records, reports, and required documentation.
  • Supervise Site Leads, Soccer Program Workers, referees, coaches, and volunteers.
  • Provide direction, support, and performance feedback to assigned staff.
  • Ensure staff adhere to YMCA policies, procedures, and safety standards.
  • Assist the Director of Soccer with program planning and operational needs.
  • Perform Director responsibilities during designated absences.
  • Monitor program activities to ensure a safe, positive, and inclusive environment.
  • Address participant, parent, and staff concerns in a professional and timely manner.
  • Ensure programs are delivered in accordance with YMCA standards and soccer program guidelines.
  • Respond to and document incidents, accidents, and behavioral concerns.
  • Provide daily program updates and incident reports to the Director of Soccer.
  • Coordinate staffing and logistics for games, practices, clinics, tournaments, fundraisers, and special events.
  • Oversee field setup, equipment management, concessions, and site operations.
  • Ensure facilities and equipment are maintained in a safe and functional condition.
