About The Position

The Specialized Account Lead is responsible for managing and ensuring all specialized account processes' accuracy, compliance, and efficiency. This role demands extensive knowledge in financial and estate account management, encompassing Individual Retirement Accounts (IRAs), estate accounts, representative payee accounts, trust accounts, deceased accounts, business accounts, powers of attorney (POA), levies, garnishments, and dormant accounts. The Specialized Account Lead serves as a subject matter expert to ensure efficient, compliant, and accurate handling of these specialized functions.

Requirements

  • Knowledge of Wellby’s organizational functions, as well as general operating policies and procedures.
  • Knowledge of secretarial practices and procedures, business English, spelling, and punctuation.
  • Knowledge of Microsoft Office Suite (e.g., Word, Excel, Outlook)
  • In-depth knowledge of specialized financial accounts, including Individual Retirement Accounts (IRA), estate accounts, representative payee accounts, trust accounts, and deceased member accounts.
  • Strong understanding of regulations related to financial and estate accounts, including BSA/AML, IRS guidelines for IRAs, Power of Attorney (POA), dormant accounts, levies, garnishments, and tax-related requirements.
  • Familiarity with industry best practices for handling specialized accounts and maintaining compliance with changing regulatory requirements.
  • Strong leadership skills to guide and support a team, including experience in coaching, mentoring, and developing team members to achieve high standards of performance.
  • Ability to analyze complex account scenarios and provide effective resolutions, especially regarding member inquiries, estate issues, and regulatory compliance.
  • Excellent verbal and written communication skills to convey complex account matters clearly and professionally to members, team members, and external representatives.
  • Proficient in developing, documenting, and maintaining policies and procedures that ensure compliance and align with organizational goals.
  • Ability to ensure all processes and transactions comply with federal and state laws, especially those related to financial, retirement, and estate accounts.
  • Ability to prioritize member needs and provide personalized, high-quality service for complex account inquiries, while balancing compliance and procedural requirements.
  • Proficiency in analyzing account data, monitoring key metrics, and reporting insights to leadership to drive informed decision-making.
  • High School Diploma required
  • Minimum five (5) years of banking experience, financial services, and/or related field required.

Nice To Haves

  • Associate degree or an equivalent level of experience preferred.
  • Minimum two (2) years of experience in a supervisory or team lead role, with a proven ability to coach, manage, and develop team members preferred.
  • Experience specifically working with specialized accounts such as IRAs, estate accounts, rep payee accounts, trust accounts, and deceased accounts.
  • Proficiency in core banking systems and specialized account management software.

Responsibilities

  • Direct and oversee the management of specialized accounts, including IRAs, estate accounts, rep payee accounts, trust accounts, business accounts, and deceased accounts.
  • Serve as the subject matter expert (SME) on specialized processes such as POA, levies, garnishments, dormant accounts, and tax-related matters.
  • Ensure compliance with applicable regulations, estate planning procedures, and tax requirements related to retirement accounts.
  • Lead and manage a team, providing guidance, coaching, and support to ensure high performance and accurate processing of specialized transactions.
  • Oversee the efficient and accurate handling of IRA contributions, distributions, and audits, ensuring adherence to policies and regulatory guidelines.
  • Work directly with members and team members to resolve complex inquiries by coordinating with internal departments.
  • Develop and maintain policies and procedures related to specialized accounts, ensuring they align with industry best practices and compliance requirements.
  • Monitor dormant accounts to ensure timely follow-up and appropriate action in compliance with regulations.
  • Partner with legal and compliance teams to navigate levies, garnishments, and estate-related matters.
  • Provide regular reporting and insights to leadership on specialized account activities, team performance, and key metrics.
  • Performs other duties as assigned.
