About The Position

Reporting to the Senior manager, Project Services, the Specialist is responsible for managing project documentation related to external contractors. He is also responsible for document writing, review/revision and consistency of information, and document centralization. He is able to analyze the issues and problems that may arise during projects. He develops the various project documents in collaboration with stakeholders.

Requirements

  • Hold a college diploma in documentation techniques or its equivalent;
  • Minimum 5 years of experience in document management in a complex and multidisciplinary environment;
  • Strong mastery of the Integrated Document Management System (SharePoint and Office Suite);
  • Strong writing ability in English and French;
  • Autonomous while being considered a team player, because you will regularly have to work on common files involving colleagues from different departments as well as representatives from external companies;
  • Attention to detail to ensure the precision and accuracy of the various documents generated;
  • Remarkable ability in schematization, modelling and standardizing workflow;
  • Flexible and adaptable to priorities;
  • Ability to manage multiple requests at once;
  • Bilingual (English and French) in oral and written form.

Responsibilities

  • Prepare the required documentation to support the program and development activities according to deadlines;
  • Ensure consistency of templates and accuracy of terminology across all types of program documents;
  • Ensure that all incoming and outgoing documentation from different sources is recorded and distributed to the appropriate users;
  • Ensure documentation processing and control by performing classification and indexing;
  • Maintain the various records according to contractual and internal requirements;
  • Revise and proofread documents ensuring that spelling, grammar and punctuation, sentence structure, style and formatting specifications are adequate.
  • Take meeting notes and follow up on the actions assigned to team members;
  • Provide document control support to all program participants;
  • Maintain and revise document management procedures to ensure that they comply with internal requirements while meeting the needs of the program and the organization;
  • Process requests for access by stakeholders to SharePoint and to various pieces of project information;
  • Create and revise tables and graphs.
