Special Projects Lead

Bolt Farm Treehouse•Whitwell, TN

About The Position

Bolt Farm Treehouse creates private, restorative experiences intended to help couples slow down, reconnect, and strengthen their relationships. The company is growing its brand and team, and its Strike Team works across departments to simplify operations, build better systems, and establish improvements that department teams can sustain. The Special Projects Lead moves important improvements from loosely defined problems to implemented results. This role clarifies what needs to change, prioritizes work, brings together the right people, and carries projects through implementation and handoff. It works across operational and technical teams and uses AI and automation to reduce coordination work. The role helps shape project delivery and improve how teams serve guests and run the business.

Requirements

  • At least 3 years of experience leading cross-functional projects from definition through implementation.
  • A portfolio of projects personally scoped, coordinated, and delivered.
  • Hands-on experience using AI or automation in project workflows.
  • Experience delivering projects directly with founders or executive leaders.

Nice To Haves

  • Experience in hospitality, guest experience, or other frontline service operations.
  • Experience in a founder's office, chief-of-staff function, or special-projects team.
  • Experience building ClickUp workflows and automations, or comparable enterprise work-management systems.
  • Experience leading a small team and supporting operational adoption after launch.

Responsibilities

  • Define project scope, intended outcomes, owners, and completion criteria with the people closest to the problem.
  • Prioritize cross-functional initiatives based on guest impact, operating efficiency, and business value.
  • Build clear project plans and coordinate the people and dependencies needed to deliver them.
  • Use AI-enabled workflows and automation to reduce manual project tracking and follow-up.
  • Identify blockers early, resolve tradeoffs, and keep decision-makers informed.
  • Work with department teams to simplify processes before adding tools or automations.
  • Lead implementation, user adoption, and handoff so completed projects continue working without daily project-team support.
  • Capture results and lessons in reusable SOPs, templates, and operating practices.
