About The Position

The Human Resources Department is seeking a full-time, qualified Special Projects Coordinator. The Coordinator is responsible for the systematic collection, entry, and maintenance of departmental records to ensure data integrity and accessibility. The Coordinator serves as a primary point of contact for retrieving specific data and generating reports that support compliance with the Maryland Child Abuse and Sexual Misconduct Prevention statute and related Maryland State Department of Education (MSDE) requirements.

Requirements

  • Strong proficiency with Microsoft Office Suite and Adobe Acrobat.
  • Excellent oral and written communication skills.
  • Ability to manage significant amounts of data entry with a high degree of accuracy.
  • Demonstrated ability to prioritize tasks, manage time effectively, and meet deadlines.
  • Outstanding customer service and interpersonal skills, with the ability to interact and collaborate effectively with others.
  • Ability to manage multiple projects through completion while providing timely updates.
  • Ability to maintain confidentiality of sensitive human resources information.

Responsibilities

  • Coordinate compliance processes related to the Maryland Child Abuse and Sexual Misconduct Prevention statute for all active Archdiocesan school employees.
  • Receive, sort, and disseminate all required Employment History Review Forms to other employers.
  • Maintain up-to-date data on outstanding forms and initiate and follow through on multiple contacts with delinquent employers.
  • Ensure the return of forms within the timeframe specified in the statute and update Excel spreadsheets as forms are received.
  • Report unresponsive employers to MSDE within designated timeframes.
  • Upload completed documents into the UKG Document Manager.
  • Utilize the UKG applicant tracking system to obtain employee information as needed to complete assigned duties.
  • Coordinate communication among school administrators, the Department of Catholic Schools, and HR Employee Relations managers.
  • Escalate issues of non-compliance to management for resolution.
  • Collaborate with school administrators to ensure all required Employment History Review Forms are generated and disseminated.
  • Prepare reports and/or summaries related to compliance status and employee data.
  • Future responsibilities may include onboarding new hires into the UKG system.
  • Perform other duties as assigned by the Manager and the Executive Director of Human Resources.
  • Supervise the work of an intern.
  • May require travel to off-site locations.
