About The Position

Würth USA is seeking a highly organized and detail-oriented Special Orders Associate to join our Sales Development team. In this role, you will serve as the central point of contact for special order projects, sourcing procurement opportunities, coordinating cross-functional teams, and ensuring customer orders are successfully managed from quotation through delivery. The ideal candidate is a proactive problem solver who thrives in a fast-paced environment, enjoys collaborating with multiple departments, and can effectively manage several projects simultaneously while maintaining exceptional customer service.

Requirements

  • College degree or equivalent combination of education and relevant experience.
  • Strong organizational, communication, and customer service skills.
  • Excellent attention to detail and follow-through.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Strong problem-solving and critical-thinking skills.
  • Ability to work both independently and collaboratively.
  • Advanced proficiency with Microsoft Office, including Excel and PowerPoint.

Nice To Haves

  • Experience with SAP.
  • Experience in procurement, customer service, inside sales, operations, supply chain, or project coordination.
  • Experience managing quotes, special orders, bids, or proposal processes.

Responsibilities

  • Serve as the primary point of contact for assigned special order projects and proposals.
  • Prepare, manage, and coordinate customer proposals, bids, RFQs, RFPs, and RFIs to ensure timely and accurate submissions.
  • Enter customer orders and quotations accurately and within department guidelines.
  • Collaborate with Sales, Product Management, Purchasing, Procurement, Logistics, Warehouse, and other internal teams to support customer projects.
  • Monitor proposal requirements and ensure all customer specifications, pricing, and deadlines are met.
  • Communicate project status, delivery updates, and additional requirements with Sales Representatives, customers, and internal stakeholders.
  • Maintain and update SAP item and vendor information, including costs, minimum order quantities, pack sizes, and supplier data.
  • Review open orders, expedite shipments when necessary, track deliveries, and communicate changes in expected delivery dates.
  • Assist Sales Representatives and Managers with customer demand planning and project support.
  • Manage stocking agreements and purchase agreements.
  • Coordinate procurement activities and vendor follow-up for large customer accounts.
  • Manage X-Stock reports and support inventory procurement activities.
  • Assist warehouse personnel with reconciliation of incoming goods when needed.
  • Generate ad hoc reports and provide project updates to management.
  • Support additional departmental projects and responsibilities as assigned.
