About The Position

The purpose of this classification is to develop, implement, and coordinate special events for the Parks and Recreation Department. The Special Events Coordinator is responsible for the overall planning, execution, and evaluation of various special events, ensuring they are safe, engaging, and within budget. This role involves extensive coordination with internal departments, external vendors, and the public, as well as performing administrative duties to support event operations.

Requirements

  • Bachelor’s degree in Event Management, Event Planning, Arts Administration, Management, Entertainment Management, Hospitality Management, Recreation or a related field.
  • Three (3) years of progressively responsible experience in special events planning and coordination, event production, hospitality, marketing, or a related field.
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Must possess and maintain a valid Georgia driver’s license.
  • Ability to perform the essential functions of the position with or without a reasonable accommodation.

Responsibilities

  • Develop, coordinate, and implement special events for the City, including creating themes, designs, and layouts.
  • Schedule events, establish and maintain timelines, and secure event sites.
  • Create and manage program budgets, overseeing approved budgets.
  • Coordinate pre-event activities, including preparing and distributing documentation, providing event information for publication, and coordinating third-party service contracts (RFPs, RFBs, negotiations).
  • Attend meetings to delegate job responsibilities for event requirements.
  • Gather and purchase supplies and prizes, and obtain necessary licenses and permits.
  • Ensure site appropriateness and readiness, including safety, electrical, maintenance, and pest control.
  • Coordinate event activities, monitoring for safety and smooth operation of staff and facilities.
  • Monitor facility and restrooms during functions, troubleshoot issues, and make recommendations for resolutions.
  • Respond to emergencies, accidents, and injuries during events, completing and distributing related documentation.
  • Coordinate post-event activities, including monitoring tear-down and clean-up.
  • Conduct assessments and evaluations of events, preparing reports and developing recommendations for improvements.
  • Ensure adherence to established safety procedures and monitor the work environment for safety.
  • Perform general customer service and administrative duties, including greeting customers, responding to inquiries, attending meetings, answering the telephone, preparing reports and correspondence, copying and filing documents, and entering computer data.
  • Communicate with supervisor, City employees, law enforcement, vendors, entertainers, the public, and outside agencies to coordinate work, review status, exchange information, resolve problems, or provide direction.
  • Prepare, type, proofread, and complete various forms, reports, RFPs, RFBs, contracts, purchase orders, correspondence, budget documents, after-action reports, charts, graphs, and spreadsheets.
  • Receive, review, complete, proofread, process, forward, or retain various documents including forms, reports, correspondence, logs, invoices, contracts, insurance forms, estimates, drawings, maps, meeting minutes, and agendas.
  • Operate a personal computer and general office equipment, utilizing word processing, spreadsheet, database, or other system software.
  • Perform other related duties as assigned.
