About The Position

Under general supervision the Special Events & Sponsorship Coordinator plans, coordinates, and executes Foundation fundraising, donor stewardship, and selected Institutional Advancement events that support student scholarships, educational programs, and the mission of the College. A central responsibility of this position is to identify, cultivate, solicit, secure, and steward event sponsorships and in-kind support in coordination with the Executive Director and established Foundation fundraising priorities. The position builds meaningful relationships with donors, sponsors, volunteers, community partners, vendors, and College stakeholders while ensuring events are well-managed, financially responsible, and reflective of the College's standards and values.

Requirements

  • Associate degree in Business, Marketing, Public Relations, Non-Profit Management, Hospitality, Event Management or a related field.
  • At least two (2) years of professional experience in event planning, fundraising, sponsorship development, donor or community relations, or related experience.
  • Demonstrated ability to build external relationships and secure event sponsorships, donations, or in-kind support.
  • Demonstrated experience coordinating event logistics, budgets, vendors, volunteers, and multiple deadlines.
  • Strong written and verbal communication, organizational, relationship-building, negotiation, and problem solving skills.

Nice To Haves

  • Bachelor’s degree in Business, Marketing, Public Relations, Non-Profit Management, Hospitality, Event Management or a related field.
  • Experience in a college foundation, non-profit organization, institutional advancement, or higher education environment.
  • Experience in fundraising, donor cultivation and stewardship, sponsorship development, corporate and community partnerships, and tracking fundraising performance and outcomes
  • Experience developing sponsorship packages, managing sponsor benefits, supporting donor stewardship, and tracking fundraising outcomes.
  • Experience with event marketing, digital promotion, volunteer coordination, and donor or event management software.

Responsibilities

  • Plan, coordinate, and execute Foundation fundraising, donor stewardship, and designated Institutional Advancement events from concept through post-event follow-up.
  • Develop event goals, budgets, timelines, work assignments, revenue projections, and logistical plans to support successful outcomes and responsible stewardship of Foundation resources.
  • Identify prospective sponsors and community partners; cultivate relationships; solicit and secure sponsorship commitments, donations, and in-kind support for assigned events in coordination with the Executive Director and Foundation fundraising priorities.
  • Develop sponsorship packages, solicitation materials, sponsor benefits, recognition plans, and renewal opportunities; ensure sponsor commitments and promised benefits are fulfilled accurately and professionally.
  • Track sponsorship commitments, payments, in-kind contributions, acknowledgments, recognition, and stewardship activities in coordination with Foundation staff and applicable gift-processing procedures.
  • Research, negotiate, and coordinate venues, catering, decor, entertainment, audio-visual services, rentals, and other event needs within approved budgets and procedures.
  • Coordinate event committees, volunteers, staff, vendors, and partners through meetings, written communications, work assignments, and on-site direction.
  • Collaborate with Marketing and Media Relations staff on accurate, brand-consistent event promotion, invitations, programs, sponsor recognition, publicity, and digital content.
  • Provide a welcoming, professional, and relationship-centered experience for donors, sponsors, guests, volunteers, and College partners before, during, and after events.
  • Evaluate event results through revenue and expense analysis, sponsorship attainment, attendance, participant feedback, and wrap-up meetings; recommend improvements to event quality and fundraising outcomes.
  • Prepare regular event and sponsorship reports for the Executive Director, PCC Foundation Board, and Institutional Advancement leadership as requested.
  • Maintain accurate and confidential records related to sponsors, donors, event finances, vendors, volunteers, and event operations; work flexible hours, including evenings and weekends, as required.
