About The Position

Under general direction, is responsible for planning major and general activities that involve identifying and attracting the interest and commitment of local and out-of-town groups to Mission Marquee Plaza and the World Heritage Center, including Farmers and Artisans Markets, movie screenings, cultural events, and the World Heritage Festival. May exercise functional supervision over assigned staff.

Requirements

  • Bachelor's Degree from an accredited college or university.
  • Ability to plan, coordinate and implement various types of events and activities.
  • Ability to project needs of events in order to secure all the appropriate staff.
  • Ability to communicate clearly and effectively.
  • Ability to establish and maintain effective working relationships with co-workers, supervisors, and the general public.
  • Ability to perform all the physical requirements of the position, with or without accommodations.

Nice To Haves

  • 2–3 years of direct experience in special events coordination, including vendor and volunteer management and large-scale public programming.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with using Smartsheet or similar data tracking software.
  • Experience with event marketing and community engagement with diverse communities.
  • Exceptional interpersonal skills for public speaking and high-volume correspondence.
  • Proven ability to track attendance data, manage multiple budgets, and file complex documentation digitally.
  • Ability to work weekends and evenings to support on-site event schedules.
  • Bilingual Spanish & English.

Responsibilities

  • Identifies and maintains files on organizations with potential for utilization of City facilities.
  • Establishes and maintains contact with representatives of local civic groups and organizations to create and maintain their interest in special activities.
  • May prepare and give presentations to individuals and groups, which illustrate the desirability of City facilities for holding large special events.
  • Establishes and maintains the administrative procedures and files to accomplish and maintain records of scheduled and projected activities.
  • Develops cultural programs for utilization of City facilities for varied revenue producing activities in space available.
  • Represents the City in supervision of special activities.
  • Works with department staff to develop media contacts, draft and distribute news releases, and prepare reports after each event.
  • Performs related duties and fulfills responsibilities as required.
