About The Position

Borden Ladner Gervais S.E.N.C.R.L., S.R.L. (BLG) is seeking a Specialist for its Document Production (DocPro) Centre. This full-time remote opportunity is available in all regions and the schedule will be determined to support core business hours and needs. The Specialist, Document Production will be expected to provide Legal Professionals, Business Services and Legal Services Support members with a seamless, professional, accurate and efficient document production service. The Specialist will be familiar with all software packages required to produce the firm’s documents, especially with Microsoft Office products such as Word, PowerPoint and Excel. The Specialist will be required to advise on document layout and reformatting options and will also assist to preserve the firm’s precedent bank to ensure all documents are maintained in the firm’s style and are consistently updated upon instruction from the legal departments. The Document Production Team will take an active interest in the workload and requirements of each department and will provide flexible services to ensure deadlines are consistently met.

Requirements

  • Minimum 3 years of relevant experience
  • Working knowledge of legal documents terms and litigation procedures, an asset
  • Advanced knowledge of MS Office products; MOS Certification an asset, but not required
  • Fully bilingual (French and English), spoken and written
  • Ability to troubleshoot and repair problem documents either on one’s own or with support from IT
  • Strong dictation transcription skills
  • Excellent organizational and time management skills to effectively prioritize and meet deadlines with minimal supervision
  • Strong interpersonal skills with the ability to work well independently and collaboratively within a team environment
  • Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization
  • Ability to adapt and learn new technology
  • Exceptional attention to detail and proofreading abilities
  • Ability to be proactive and take initiative
  • Ability to work in a high-pressure environment
  • Flexibility to occasionally work hours outside of scheduled shift

Responsibilities

  • Managing and responding to document production requests effectively using systems to prioritize and complete incoming work
  • Producing, formatting and amending correspondence, documents, reports, attachments etc. from a variety of sources, in house style and in line with the firm’s specific systems/procedures
  • Producing and amending PowerPoint presentations, organizational charts, mail merges, Excel spreadsheets and graphs
  • Checking documents to ensure they are correct, in line with house style and, where applicable, the information to be confirmed has been highlighted to service users
  • Liaising with service users in relation to document production
  • Keeping service users updated on the progress of their work
  • Ensuring documents are produced within the required timeline and to the highest standards
  • Working to define service level under the instruction of the Team Leads of the National DocPro team
  • Assisting with Helpline Software Support inquiries
  • Regularly checking workloads within the Centre and assisting/reprioritizing whenever possible to avoid backlogs of work
  • Assisting fellow Specialists nationally with workload as required
  • Ensuring service levels are maintained in the team throughout full schedule
  • Participating in regular scheduled training sessions to maintain optimum systems knowledge
  • Performing any other duties as reasonably requested by DocPro Team Leads
