About The Position

Seeking a qualified leader in the medical field to ensure the workflow of the office is functioning correctly and that staff and providers have the resources they need to serve patients. This role involves managing daily operations, team performance, financial protocols, patient experience, and compliance within a VitalSkin Dermatology practice serving Des Peres & Creve Coeur.

Requirements

  • 2+ years leadership experience in a Medical office or other healthcare setting.
  • Must possess critical thinking skills, flexibility, and a positive attitude.
  • Strong organizational skills.
  • Strong verbal and written communication skills.

  • Familiarity of third-party payer systems: Medicare, Medicaid, commercial and Department of Health programs.

Responsibilities

  • Coordinate and participate in practice communication plans including daily team huddles, weekly tactical meetings, and monthly strategic meetings.
  • Work with the Director of Operations to ensure the operational functions and strategic goals are met.
  • Maintain positive relationships between Practice(s) and the Support Office.
  • Participate in the selection, hiring, onboarding, training and, if appropriate, deselection of all office and clinical team members.
  • Track and approve Team Member payroll, time, and attendance, including vacation and sick leave.
  • Responsible for ongoing Team Member performance management, goal setting, and evaluation processes.
  • Ensure Practice compliance with Fiscal Management policies.
  • Oversee daily deposit reconciliation and onsite cash management protocols.
  • Responsible for the expenditure payment and procurement workflows.
  • Responsible for credit card policies and reconciliations.
  • Ensure an outstanding patient experience.
  • Manage patient scheduling protocols, including creating and adjusting provider templates, and ensuring minimum hours are being met.
  • Document and manage patient complaints.
  • Ensure office and medical inventories are adequate.
  • Oversee day-to-day operations of Practice(s) facilities and equipment, including initial troubleshooting of computer problems, repair work, initial weather responses, and cleaning protocols.
  • Participate in strategies to ensure an appropriate level of community relations.
  • Oversee telephone performance metrics (abandonment rates, time to answer).
  • Revenue Cycle Management Oversight of the following processes: Patient Registration, Patient Scheduling, Check In & Check Out Process, Co-Pay Collections, Charge Entry, EMR and PM Proficiency, No Show Process, Missing Charges.
  • Maintain Compliance Standards and Training, including HIPAA, CLIA, MIPS, and HR focused areas.
  • Monitor task queue for outstanding items.
  • Monitor daily patient flow, assist when needed.
  • Facilitate daily huddles.
  • Mail distribution.
