About The Position

The Site Liaison is responsible for providing direct afterschool program oversight and support to assigned program sites within the South Region, specifically Tulare County. This role involves supervising site operations and personnel, conducting regular site visits, documenting observations, and problem-solving employee performance issues in cooperation with site leadership and HR. The Site Liaison also participates in hiring decisions, develops operational methods and standards, and contributes to policy formulation. Additionally, they conduct performance evaluations, mentor site coordinators, maintain relationships with school personnel, attend meetings, and stay updated on changes affecting the programs. The role also includes budgeting responsibilities if applicable, assisting with recruitment and hiring, supporting and potentially training at academies, and performing other assigned duties as directed by the program director.

Requirements

  • A minimum of a four (4) year college degree in business management or administration is highly preferred.
  • Prefer 3 to 5 years of direct related work experience, including work with non-profit organizations in an educational setting.
  • Strong demonstration of experience working with children in the field of youth development and community service.
  • Must possess a California Class C driver’s license in good standing.
  • Must be able to communicate in and understand the English language with knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Must be able to demonstrate exceptional written, verbal, and interpersonal communication skills.
  • Must be able to lead and motivate groups and individuals.
  • Must be able to think creatively and strategically.
  • Must be able to successfully mediate and negotiate with individuals and groups internally and externally.
  • Must possess strong project management skills and be able to balance competing priorities, complex situations, and tight deadlines.
  • Must possess excellent skills in word processing, working with databases, and using Microsoft Office products, such as Word, Excel, and Outlook.
  • The position requires proven leadership skills.

Responsibilities

  • Directly supervise assigned afterschool program site operations, including afterschool program personnel.
  • Regularly travel to assigned school sites to provide support to program site coordinators and tutor personnel.
  • Communicate and reinforce company policy and program guidelines.
  • Document observations of afterschool program performance, including site operations, employee concerns, areas for improvement, successes, and relations with school district personnel.
  • Maintain documentation of site observations consistent with company policy.
  • Submit documentation of site observations and recommendations to the program director.
  • Immediately report any employee issues that require immediate attention or investigation.
  • Regularly monitor and problem-solve employee performance issues in cooperation with program site leadership and the company human resources department.
  • Exercise discretion and independent judgment in evaluating observation reports, screening and hiring applicants, developing methods and procedures for personnel, and participating in policy formulation.
  • Conduct periodic performance evaluations of program site coordinators and tutors, including planning performance goals and objectives.
  • Serve as a mentor to site coordinators and provide supportive consultation.
  • Maintain healthy and productive relationships with school site administrative personnel and school district personnel.
  • Cooperate with school site administrative personnel in meeting CTFF contractual goals and representing CTFF.
  • Regularly attend and represent CTFF at scheduled meetings at school sites, including school district or county offices of education.
  • Keep up-to-date with changes that may affect CTFF afterschool programs and communicate such changes to site coordinators with recommendations.
  • Regularly review and respond to email communications from afterschool program site personnel.
  • Complete and submit necessary company forms in connection with changes in employee status, enforcement of company policies, disciplinary notices, site observations, and other related tasks.
  • Schedule meetings with employees, as needed.
  • Maintain regular attendance record as a requirement in meeting grant funding requirements.
  • Regularly review attendance records for accuracy and adherence to grant funding terms and conditions.
  • Establish budgets for certain afterschool program sites, if applicable.
  • Allocate appropriate grant funds using discretion and independent judgment.
  • Submit reports to the appropriate state agency as to the status of the budgets.
  • Prepare for financial audits conducted by the California Department of Education and School District officials.
  • Assist the human resources department with company recruitment efforts.
  • Regularly review PayCom for job applicants assigned to your region.
  • Schedule initial interviews of job applicants for placement consideration at assigned afterschool program sites.
  • Make hiring decisions from qualified job candidates and facilitate the placement of new hires.
  • Prepare new hires for their initial job placement in cooperation with the company human resources department.
  • Assign temporary placement of substitute personnel at job sites where employee absences were reported.
  • Reclassify existing afterschool program site personnel as required.
  • Attend and support the academies held monthly.
  • Assist with coordination of academy trainings or activities.
  • Serve as an academy trainer.
  • Prepare appropriate training curriculum and other related instructional materials.
  • Regularly communicate upcoming academies to personnel and enforce attendance requirements.
  • Ensure academy content is being regularly communicated to personnel.
  • Follow direction set by the program director.
  • Offer opinions and recommendations of proposed action and decisions that could enhance program efficiency and operations.
  • Attend staff meetings.
  • Perform other duties as assigned.
