About The Position

The Site Coordinator role is for individuals who are natural leaders, enjoy working with children, bringing big ideas to life, and creating a welcoming environment. This position involves leading the day-to-day operations of the school-age program under the guidance of the School Age Director. The Site Coordinator is responsible for creating a safe, exciting, and unforgettable experience for children, dreaming up activities, leading a team, solving challenges, celebrating successes, and making a difference in the lives of children and families.

Requirements

  • Minimum of 20 years of age.
  • B.S. or B.A. with 9 months experience with school age children, OR High School diploma or equivalent plus 1 year working with school age.
  • CPR/AED and First Aid certifications required.
  • Evidence of physical examination within last 12 months.
  • Negative Mantoux TB test and immunity for measles, mumps, and rubella.
  • Ability to create and sustain a culture of excellence and work and thrive as part of a cohesive team.
  • Ability to lift/move heavy equipment and clean when necessary.
  • Strong oral communication skills required for occasional public speaking responsibilities.
  • Ability to sit, stand, bend, lift up to 75lbs on occasion and 40lbs frequently (children) and move intermittently during work hours.
  • Ability to thoroughly understand Y-USA's three focus areas: Youth Development, Healthy Living, and Social Responsibility; proven ability to identify and meet the needs of the health seeker.

Responsibilities

  • Plan and implement fun, creative, and engaging activities for children.
  • Provide positive and encouraging leadership to assistant leaders and group leaders.
  • Support, motivate, and host meetings for the team to ensure they bring their best energy daily.
  • Build meaningful relationships with children and families to create a strong sense of community and boost enrollment.
  • Keep the program organized and running smoothly, handling unexpected situations.
  • Manage children's files and ensure they are up to date.
  • Ensure the program complies with YMCA policies, licensing requirements, and safety guidelines, prioritizing safety and following EEC protocol.
  • Act as a problem-solver, cheerleader, planner, and team player.
  • Lead by example, embodying YMCA values of caring, honesty, respect, and responsibility.
  • Understand, implement, and maintain compliance with all EEC regulations and Old Colony Y policies.
  • Plan, develop, and implement engaging, age-appropriate program curriculum.
  • Develop programming that recognizes and supports the individual needs of each child.
  • Provide leadership and oversight of daily activities, including Y Chat, Homework Help, STEM activities, arts and crafts, group games, long-term projects, and program set-up/clean-up.
  • Assist with staffing at other school-age locations and full-day programs when needed.
  • Supervise children throughout all program areas, field trips, special events, and other program activities.
  • Act as a positive role model for children, staff, and families.
  • Maintain a positive and supportive environment while ensuring appropriate child behavior and adherence to YMCA policies.
  • Communicate promptly and professionally with parents, school personnel, potential clients, and community partners.
  • Represent and promote YMCA programs through public appearances, presentations, and positive interactions.
  • Complete and maintain all required documentation, including accident reports, incident reports, and attendance records.
  • Create and provide weekly staff schedules and meeting agendas.
  • Maintain accurate attendance records and ensure all required reports and paperwork are completed and submitted appropriately.
  • Meet with the School Age Director as directed.
  • Provide leadership during weekly site staff meetings and monthly School Age meetings.
  • Coordinate with the YMCA office for supplies, paperwork, and administrative tasks.
  • Manage payments and billing according to the YMCA parent payment schedule.
  • Support professional development by participating in training and other growth opportunities.
  • Establish and maintain effective working relationships with school personnel and other site-specific partners.
  • Recruit, supervise, train, support, and evaluate school-age staff and volunteers.
  • Organize, facilitate, and document regular staff meetings.
  • Provide ongoing coaching, feedback, and support to staff.
  • Ensure staff understand and follow all YMCA policies, EEC regulations, and safety procedures.
  • Attend mandatory training and Site Coordinator meetings.
  • Coordinate the purchase of program supplies.
  • Support efforts to maintain and achieve maximum program enrollment.
  • Assist with the YMCA Annual Campaign and other fundraising initiatives.
  • Follow all YMCA fiscal policies and procedures.
  • Communicate billing or payment concerns to the director or billing coordinator.
  • Ensure program spaces are clean, organized, welcoming, and safe.
  • Ensure equipment and supplies are properly maintained and safely stored.
  • Communicate facility, maintenance, and safety concerns to the appropriate staff member.
  • Assist with cleaning, organization, and program set-up as needed.
  • Actively participate in assigned committees, YMCA initiatives, and the Annual Campaign.
  • Promote YMCA programs through public appearances, presentations, and community events.
  • Maintain professionalism when representing the YMCA.
  • Participate in occasional after-hours YMCA or school-related events.
  • Complete at least 20 hours of childcare-related training annually.
  • Support the YMCA's commitment to Youth Development, Healthy Living, and Social Responsibility.
