About The Position

HealthForce Kentucky (HFK) in collaboration with Owensboro Community and Technical College (OCTC) is seeking applications for our Simulation Inventory & Equipment Assistant which supports the daily inventory, equipment, supply, and operational needs of HFK’s simulation programs. This position maintains accurate inventory records in the SHELF inventory management system, organizes simulation equipment and supplies, fulfills inventory requests from the Simulation team, and coordinates equipment warranty and repair processes. This is primarily an on-site position with occasional local, regional, or overnight travel that may occur when the employee is participating in Simulation Operations cross-training or supporting mobile/off-site simulation activities. Travel frequency will be based on program needs and assigned responsibilities. This role is intended to provide an entry point into healthcare simulation. Employees who demonstrate strong performance, technical aptitude, reliability, and competency may be well positioned to apply for future full-time Simulation Technician or Simulation Operations positions as opportunities become available. Cross training or employment in this position does not guarantee promotion or transfer. Continuation of this position is contingent upon the availability of funding.

Requirements

High school diploma or GED and four (4) years of relevant work experience.
Proficient in basic computer applications with the ability to learn and effectively utilize the SHELF inventory management system, equipment-tracking tools, and other technology-related systems.
Strong organizational, recordkeeping, and follow-through skills with exceptional attention to detail and the ability to maintain accurate documentation.
Professional written, verbal, and customer service communication skills with the ability to effectively interact with staff, vendors, learners, visitors, and other stakeholders.
Ability to work independently and collaboratively, prioritize multiple requests, communicate status updates clearly, and support Simulation Operations and educational staff in a fast-paced environment.
Ability to follow written and technical instructions, standardized procedures, and established processes while appropriately identifying and escalating equipment or technical concerns.
Basic troubleshooting skills, mechanical aptitude, and a willingness to learn new technologies, equipment, and simulation-related processes.
Demonstrated dependability, initiative, and commitment to continuously developing simulation operations knowledge and competencies.
Ability to safely stand, walk, bend, reach, push, pull, load, unload, transport, and move equipment and supplies associated with simulation operations and program activities.
Ability to independently lift and move equipment weighing up to approximately 50 pounds and participate in team lifting or utilize material-handling equipment for heavier items.

Nice To Haves

Associate degree, or current enrollment in an associate or bachelor’s degree program and two (2) years of relevant work experience.
Experience in inventory, logistics, shipping/receiving, healthcare, education, information technology, audiovisual technology, biomedical equipment, EMS, warehousing, or another technical environment.
Experience using inventory or asset-management software.
Experience coordinating warranties, repairs, service requests, or vendor communication.
Basic mechanical or technical aptitude and interest in learning how equipment works.
Interest in healthcare simulation, medical technology, IT, AV, electronics, or healthcare.
CPR/BLS certification or willingness to obtain after hire.

Responsibilities

Maintain accurate inventory records for simulation equipment, task trainers, accessories, replacement parts, and consumable supplies using the SHELF inventory management system. Add and update items, maintain equipment locations and status, check assets in and out, document movement, assist with audits, and reconcile missing or misplaced items.
Receive and fulfill approved equipment and supply requests from Simulation Operations staff and educators. Pull requested items, prepare carts or supply sets, communicate shortages, restock commonly used items, and return unused equipment and supplies to their designated locations.
Help keep simulation equipment ready for use by verifying that accessories, cables, batteries, chargers, and other components remain with the appropriate equipment. Maintain organized storage areas, identify damaged or expired items, and support routine cleaning, charging, reset, and restocking activities within demonstrated competency.
Coordinate the administrative process for simulation equipment requiring warranty service or repair. Contact manufacturers or vendors, open service cases, document serial numbers and case/return authorization information, prepare equipment for shipment, track repair status and vendor communications, receive returned equipment, and update SHELF when equipment status changes.
Receive and inspect incoming equipment and supplies, verify deliveries, identify shipment discrepancies or visible damage, label and inventory appropriate assets in SHELF, organize manufacturer documentation, and route items to the correct storage or operational location. Prepare outgoing equipment for warranty repair or other approved shipments.
Monitor commonly used supplies and consumables, identify low-stock items, support periodic inventory counts, track expiration dates when applicable, and communicate replenishment needs to the appropriate team member. Assist with maintaining established minimum and preferred stock levels where directed.
Support the Simulation team with basic preparation and reset activities, including pulling scenario supplies, staging task trainers and equipment, preparing carts, restocking rooms, returning equipment after programs, and assisting with general equipment movement throughout the facility.
Participate in structured cross-training in entry-level Simulation Operations functions based on organizational need, employee interest, and demonstrated competency. Cross-training may include simulation room setup and breakdown, task trainer preparation, basic manikin setup, monitor preparation, scenario reset, introductory moulage support, basic audiovisual support, and supervised troubleshooting.
May occasionally travel with HFK Simulation Operations staff to support mobile or off-site simulation programs as part of cross-training and competency development. Travel may include equipment preparation, loading/unloading, setup, breakdown, and supervised technical support. Occasionally early morning, evening, or overnight travel may be required based on program needs.
Provide occasional front desk or reception coverage as needed, including greeting visitors and learners, assisting with visitor check-in, answering and routing telephone calls, directing guests to appropriate areas, and communicating participant arrivals to staff.
Maintain accurate records related to inventory, equipment status, warranties, repairs, shipping, receiving, service history, and vendor communications. Communicate clearly with Simulation Operations staff regarding equipment availability, outstanding repairs, and inventory needs.
Assist with equipment organization, special projects, educational events, facility preparation, and other duties consistent with the position and HFK operational needs.
