About The Position

US Coatings is currently seeking a Shipyard Assistant. This position provides administrative, logistical, and operational support to project management and field teams, helping ensure the efficient execution of marine coatings and surface preparation projects. Assist Project Managers, Operations personnel, and field supervisors with administrative, operational, and project-related tasks. Support workforce timekeeping activities, including collection, review, and organization of timesheets, labor reports, and related documentation. Assist with employee onboarding activities, including preparation of employment paperwork, orientation materials, safety documentation, and personnel files. Coordinate, organize, scan, file, and maintain company, project, and employee records in both electronic and hard-copy formats. Utilize Microsoft Office applications, including Outlook, Excel, Word, and Teams, to prepare reports, maintain records, track information, and support daily business operations. Run company errands and transport supplies, equipment, documents, and materials between company offices, shipyards, vendors, customers, and project locations. Assist with shipping and receiving activities, including unloading deliveries, inspecting received materials, processing shipments, and maintaining inventory records. Support warehouse, shop, and yard operations through organization of tools, materials, equipment, consumables, and personal protective equipment (PPE). Assist with inventory counts, stocking, material issuance, and tracking of project-related supplies and equipment. Coordinate deliveries, pickups, and transportation activities with vendors, customers, and project personnel. Maintain clean, organized, and professional office, warehouse, shop, and yard facilities. Assist with mobilization and demobilization activities for marine and industrial projects. Operate forklifts and other material-handling equipment when properly trained, certified, and authorized. Support project teams by gathering, organizing, and distributing project documentation, schedules, reports, and correspondence. Interact professionally with employees, customers, subcontractors, vendors, and shipyard personnel. Comply with all company policies, customer requirements, environmental procedures, and safety regulations. Perform a wide variety of administrative, logistical, labor, and operational support activities as assigned to support company objectives and project success. Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Local to the Charleston area.
  • Valid driver's license with a clean driving record.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
  • Strong computer skills, administrative abilities, and attention to detail.
  • Ability to create, maintain, and organize spreadsheets, documents, reports, files, and records.
  • Strong organizational, time management, and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to work independently with minimal supervision and as part of a team.
  • Professional attitude, strong work ethic, and willingness to assist wherever needed.
  • Ability and willingness to perform both office-based administrative duties and hands-on operational support tasks.
  • Ability to safely lift and carry up to 50 pounds when necessary.
  • Ability to walk, stand, bend, climb stairs and ladders, and work on uneven surfaces for extended periods.
  • Ability to work safely in active shipyard, industrial, warehouse, and construction environments.
  • Comfortable working outdoors in varying environmental conditions, including high heat, humidity, cold temperatures, rain, wind, and other weather conditions common to the Southeast.
  • Ability to work safely around heavy equipment, forklifts, cranes, vehicles, suspended loads, industrial coatings, abrasive blasting operations, and other hazards commonly present in shipyard environments.
  • Ability to wear required personal protective equipment (PPE), including hard hats, safety glasses, hearing protection, gloves, respirators, high-visibility clothing, and steel-toed footwear.

Nice To Haves

  • Experience working in a shipyard, marine, industrial, construction, manufacturing, or logistics environment.
  • Fluent bilingual ability in English and Spanish.
  • Forklift certification and material-handling equipment experience.
  • OSHA 10, OSHA 30, or other applicable safety certifications.
  • TWIC card or the ability to obtain one.
  • Experience with shipping, receiving, warehousing, inventory management, or logistics operations.
  • Experience supporting project managers, superintendents, or operations personnel.
  • Experience with timekeeping, workforce tracking, onboarding activities, personnel records, or general office administration.
  • Familiarity with ERP, payroll, accounting, project management, or document management software.
  • Demonstrated interest in building a long-term career within the marine, ship repair, industrial services, or coatings industry.
  • Willingness to learn new skills and take on increasing responsibilities as opportunities for advancement arise.
