About The Position

The Customer Service team partners with Business Development to provide responsive, high-quality support for Bruegmann customers. The Shipping Coordinator supports customer experience by coordinating outbound shipments, providing proactive and detailed communication to all stakeholders and maintaining accurate order status in the business system from order through delivery and invoicing.

Requirements

  • 1–3 years of experience in shipping or logistics, preferably in a customer-facing role
  • Knowledgeable in shipping operations understands shipping processes, carrier selection, and customer-specific requirements
  • International shipping awareness: working knowledge of international shipping requirements and documentation
  • Systems and tools proficiency: working knowledge of ERP systems (NetSuite preferred) and Microsoft Office (Excel, Outlook, Teams)
  • Manage assigned work independently, meeting quality standards and deadlines
  • Ensure system data remains clean, current, accurate and complete
  • Communicate clearly, professionally and proactively with internal and external stakeholders
  • Identify and communicate risks or delays in a timely manner
  • Follow established processes and workflows
  • Team-oriented and accountable, supporting team as needed while taking ownership of assigned work

Responsibilities

  • Execute daily shipping tasks, including shipment processing, documentation, and system updates within ERP system and related systems
  • Coordinate shipments with carriers and brokers to meet customer requirements and maintain on-time delivery
  • Review warehouse packing information for accuracy and completeness before shipment
  • Prepare and provide all required shipping documentation to the warehouse team, including BOLs, pallet labels, packing slips, and customer-specific documents
  • Track shipments and provide timely updates to internal teams and customers
  • Maintain detailed shipment records, including tracking, delivery status, and proof of delivery (POD)
  • Enter and verify shipping costs within business system to support accurate billing
  • Manage daily reports to prevent past-due shipments
  • Escalate shipment delays, issues, or risks to appropriate parties
  • Coordinate with Order Coordinators, warehouse teams, and carriers to support shipment execution
  • Ensure all scheduled daily pickups are completed prior to end of day unless otherwise communicated or approved
  • Manage international shipments requiring documentation, HS codes, and compliance
  • Own and actively manage daily report for shipments in transit: Ensure updates are accurate, detailed, and actionable
  • Proactively follow up on delays and drive resolution
  • Use reporting to manage and improve shipment performance
  • Demonstrate knowledge of and ability to execute standard shipping methods, including: LTL (Less Than Truckload) shipments, FTL (Full Truckload) shipments, Parcel shipping (FedEx, UPS), Air cargo shipments (as required), Drop shipments and vendor-direct shipments
  • Develop and maintain customer relationships to ensure alignment on procedures and timely issue resolution
  • Maintain accurate documentation of customer-specific shipping requirements and carrier account information in the business system (customer records), ensuring notes and instructions remain up to date
  • Plan upcoming shipments and coordinate daily with the warehouse team on the 1–14-day shipment schedule, providing paperwork in advance when possible
