About The Position

The SHIPPING COORDINATOR position compiles and maintains information to expedite movement of material and parts between production areas by performing the following duties. Scheduling and coordinating all shipping/receiving of products and samples to and from customers and other Arcadia Inc. facilities. Filing and organizing project related paperwork. Liaising with our credit department to ensure that customers' accounts are in good standing and that all required preliminary lien information has been received prior to orders shipping. Sorting and distributing incoming mail. Answering customer phone calls and emails regarding the status of orders and other general inquiries. Ordering shop and office supplies. Working within our ERP system to provide invoices and coordinating shipping / receiving of materials

Requirements

  • Must be bilingual.
  • Microsoft Word and Excel are a must.
  • Strong organizational skills are essential to manage priorities and maintain efficiency.
  • Ability to work both independently and collaboratively within a team environment.
  • Self-motivated with a proactive approach to tasks and problem-solving.
  • Comfortable adapting to evolving responsibilities and shifting priorities.
  • Thrives in a fast-paced, deadline-driven environment.
  • High level of accuracy with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Must be able to successfully pass a pre-employment drug screening.

Responsibilities

  • Scheduling and coordinating all shipping/receiving of products and samples to and from customers and other Arcadia Inc. facilities.

  • Ordering shop and office supplies.
  • Working within our ERP system to provide invoices and coordinating shipping / receiving of materials
  • Coordinating the shipping department with shipping employees and Forklift Operators in a fast-paced environment.
  • Assist with all functions in the shipping department.
  • Provide Excellent Customer Service as needed (In-person and telephone customer service)
  • Basic Data Entry
  • Data Base Maintenance for Purchasing Department
  • Confirmation and follow up on Purchase Orders
  • Answering email in a timely fashion
  • Other assigned tasks as may be required.
