About The Position

The Shipping & Receiving Specialist ensures the accurate, safe, and timely movement of goods in and out of the facility. This role is responsible for receiving, inspecting, and documenting inbound materials; preparing and shipping outbound orders, including making arrangements with carriers and handling customs documentation for international shipments; maintaining inventory accuracy; and upholding safety and quality standards. The ideal candidate is detail-oriented, organized, and comfortable working in a fast-paced warehouse environment with physical tasks and frequent system updates.

Requirements

  • Clear written and verbal English; accurate record-keeping and attention to detail.
  • Work Authorization: Legally entitled to work in Canada. Must be eligible to obtain and maintain up to Top-Secret security clearance.
  • Physical Requirements: Ability to lift up to 50 lb/23 kg repeatedly, stand/walk for long periods, bend, reach, and climb short ladders.

Nice To Haves

  • Experience: 5+ years in shipping/receiving, warehousing, and logistics.
  • Accreditation with a recognized professional certification body would be considered an asset.
  • Systems: Working knowledge of ERP systems and carrier platforms (e.g. (UPS / FedEx / Purolator / DHL).
  • Documentation: Familiarity with Packing Lists, BOLs, RMA, HS codes, Commercial Invoices and customs documentation. Strong knowledge of INCO terms
  • Familiarity with CUSMA.
  • Tools & Equipment: Ability to operate pallet jacks; dollies; pallet wrappers and other associated equipment.

Responsibilities

  • Unload deliveries safely using manual material handling equipment such as pallet jacks and dollies.
  • Verify shipments against purchase orders, packing slips, and ASN (advanced shipping notices); reconcile any discrepancies.
  • Inspect materials for damage, quantity, and quality; escalate non-conformances and initiate RMA processes as required. Coordinate with Purchasing, Quality, and Accounts Payable for on holds, quarantines, and documentation discrepancies.
  • Accurately transact receipts in the ERP system.
  • Label and put away goods.
  • Pick, pack, and stage finished goods for shipping to customers.
  • Verify packaging integrity (weight, dimensions, cushioning, ESD/temperature-sensitive protocols where applicable).
  • Create shipping labels, commercial invoices, and, if applicable, Customs Documentation for international shipments.
  • Create waybills / bills of lading, schedule carrier pickups and ensure on-time carrier handoff.
  • Perform cycle counts, bin audits, and adjustments with proper approvals to maintain inventory accuracy (target ≥98%).
  • Maintain clean, organized, and compliant warehouse areas (5S).
  • Update ERP records promptly; maintain shipping/receiving logs, manifests, and compliance records.
  • Support kitting and work order staging for production as required.
  • Follow all health & safety procedures for material handling, and PPE requirements.
  • Adhere to quality standards (e.g., ISO 9001), ESD protocols, and any industry-specific requirements (e.g., aerospace/ITAR—if applicable).
  • Participate in incident reporting and continuous improvement activities.
  • Assist in setting day-to-day priorities for warehouse and logistics activities.
  • Work with Procurement, Production, and Finance to prioritize orders and resolve inventory issues.
  • Communicate shipment status, delays, damage, or shortages in a timely and professional manner.
  • Other duties and responsibilities as needed to support business objectives.
