About The Position

This position is responsible for providing support and initial troubleshooting of the hardware, software and reporting for issues not resolved by Wilkin County IT. Ensures all programs and equipment in dispatch, deputies squads, and deputies offices are working properly and coordinates with vendors to correct issues and install new equipment; coordinates the release of records, information, incident system reporting and other similar duties.

Responsibilities

  • Serves as the agency administrator of the Law Enforcement Technology Group (LETG) and runs the department(s) records management system, computer aided dispatch, mobile and field reporting programs and jail records program.
  • Removes and/or sets up all employees in the Watchguard, Portals, Vesta 911, Insight MapQing, Verint, and Statusboard systems and assigns roles and permissions within the systems for all employees to have the access needed to do their job successfully.
  • Coordinates troubleshooting with LETG support weekly, using tickets or making calls directly.
  • Resets passwords, unlocks usernames and adds violations/statutes into ticket writer as needed.
  • Receives and retrieves squad car videos, processing room videos, and interviews that have been conducted for all nine deputies for the County Attorney's Office.
  • Acts as the TAC for the Sheriff's Office by maintaining state and federal hot files.
  • Conducts local CJIS checks and NCIC record checks.
  • Prepares BCA audits by gathering the information needed and providing to the BCA.
  • Maintains security awareness training and ensures all employees, vendors, and contractors are in compliance.
  • Reviews and updates department(s) "hot files" including stolen vehicles, guns, or property monthly.
  • Reviews and updates suspense files.
  • Collaborates and works with the BCA, jail staff and Court to resolve issues with the suspense records.
  • Conducts quality insurance checks in all incidents entered for accuracy, missing information, and coding.
  • Informs dispatchers and officers of any problems or missing information.
  • Corrects/fixes any problems on the ICRs daily.
  • Monitors and follows incidents/complaints/records within the system by updating information.
  • Oversees Civil Process/Gun Permits and conducts the training for the Administrative Assistant position.
  • Ensures documents received for civil process are prepared and processed accurately and in a timely manner, daily.
  • Accepts payments for said services.
  • Ensures applications for the Sheriff's Office are received, reviewed, assembled with all required documents, background checks completed, fees are collected, and permits are issued within the required statutory window.
  • Compiles, summarizes and submits various violations to the MN BCA and/or the FBI daily (NIBRS).
  • Checks the MN BCA for coding updates, summarizes incident data for the Wilkin County Sheriff's Office.
  • Ensures all forfeitures are entered and submitted on the State Auditor's Form Entry System (SAFES) as needed.
  • Reports all pursuits, and other pertinent information for the Sheriff's Office monthly on the SRS system.
  • Submits citations electronically to the court system daily.
  • Provides Driver's License information, case information and any follow up data (officer reports, driver's license information, etc.) the court may need.
  • Creates incident reports on all Release Orders received from the court daily.
  • Receives and updates files and records on all court commitment orders on individuals that are sentenced.
  • Processes all bonds received by the department.
  • Processes all search warrants done by the Wilkin County Sheriff's Office and submits them back to court electronically.
  • Processes all data requests for the Sheriff's Office.
  • Responsible for approving or denying said request, redacting sensitive information from the report prior to release, accepts payment, and releases data request via email, mail or in person in a timely manner.
  • Uploads officer reports to the DWI e-charging file for both the Wilkin County Sheriff's Office.
  • Publishes DWI documents and officer's reports to the Department of Public Safety.
  • Submits needed file data and information to the County Attorney's Office and the City Attorney's Office.
  • Retrieves BCA lab results from the LIMS system for both the Sheriff's Office and Police Department, updates the incident report and notifies the appropriate officer of the results.
  • Performs other duties of a comparable level/type, as required.
