About The Position

InterAgency Inc. is seeking a SharePoint Administrator to help a large public utility client build and manage their SharePoint environment for a multi-year program. We are looking for a highly motivated, process-driven, and detail-oriented professional to design and implement the program’s SharePoint sites, libraries, and permissions, and then serve as the day-to-day steward of the steady stream of design, construction, and program records generated by utility staff, consultants, contractors, and partners. This role requires close coordination with the client’s IT managers, program management, and engineering staff to establish the program’s information architecture and governance and migrate and organize existing content. After the design and implementation, this role will be responsible for ongoing monitoring, auditing, and continuous improvements to the SharePoint environment as the program evolves. This position is well suited to someone who enjoys bringing order to complex information and communicates clearly with technical and non-technical users.

Requirements

  • 5+ years of experience in document control, records management, or information management, including at least 2 years designing or administering SharePoint Online sites at the site owner level.
  • Hands-on experience configuring SharePoint libraries, permissions, metadata, content types, and versioning in Microsoft SharePoint Online / Microsoft 365.
  • Demonstrated experience enforcing file naming conventions, folder structures, and version control standards.
  • Proficiency with Microsoft 365, including Teams, OneDrive, Excel, and Outlook.
  • Clear written communication and the ability to tactfully correct user practices and build cooperation across teams.
  • Strong attention to detail and the ability to spot inconsistencies across large volumes of files.

Nice To Haves

  • Bachelor’s Degree in computer science, information management, or related field.
  • Experience supporting large municipal clients.
  • Professional certification such as Certified Records Manager (CRM), Information Governance Professional (IGP), or AIIM Certified Information Professional (CIP).
  • Experience with retention labels, Power Automate workflows, or SharePoint content migration tools.
  • Experience developing user training materials and leading training sessions.

Responsibilities

  • Assess the program’s current document storage, workflows, and pain points, and recommend a target SharePoint structure, integrating feedback from the program management team.
  • Design and implement the program’s site architecture, document libraries, content types, metadata, naming conventions, and version control settings, consistent with the client’s document management requirements.
  • Develop and maintain the program’s document management plan, file plan, and governance procedures as components of the Program Management Plan, and update them as needed.
  • Design and maintain a role-based permissions model for internal staff, consultants, contractors, and external partners, based on least-privilege access, coordinating tenant-level settings and external sharing with the client’s IT group.
  • Plan and execute migration of existing program content into the new structure, including cleanup of duplicate and legacy files. Configure retention labels and, where appropriate, Power Automate workflows for document intake, routing, review, and notifications.
  • Monitor and maintain the client’s SharePoint environment to ensure the integrity, organization, and accessibility of program records. Tasks may include, but are not limited to: Review document libraries to confirm files are uploaded to the correct sites, libraries, and folders. Verify that documents follow program naming conventions, version control practices, and metadata requirements. Identify misfiled, duplicate, outdated, or improperly named files, and correct them or route them to the responsible user.
  • Conduct scheduled audits of document libraries, track compliance trends over time, and prepare regular compliance reports and metrics for program leadership.
  • Support records retention, archiving, project closeout, and responses to audits, reviews, and public records requests.
  • Follow up with users and teams on recurring compliance issues.
  • Serve as the first point of contact for user questions and issues. Diagnose and resolve user-reported problems, including access and permission errors, OneDrive and Teams sync problems, broken links, version conflicts, locked or checked-out files, deleted or overwritten content, and workflow failures. Escalate tenant-level issues to the client’s IT group, and track recurring problems to identify and fix root causes.
  • Coordinate directly with client staff, IT and site administrators, program partners, and InterAgency colleagues on access requests, permission updates, and system configuration needs, and conduct periodic access reviews to remove access for departing personnel.
  • Maintain documentation of site configuration, permissions, and administration procedures to support continuity.
  • Develop training, quick-reference guides, and onboarding materials, and lead user training sessions.
  • Track your own hours and task status accurately and communicate progress and obstacles to your task lead.
