About The Position

This role serves as the initial point of contact for the service department, managing incoming calls and visitors. The Service Writer is responsible for coordinating communication flow within the office, ensuring efficiency and effectiveness in interactions with staff, the public, and businesses. Key duties include entering and reconciling all technician timecards bi-weekly before payroll processing. Additional responsibilities involve performing various clerical tasks to support the service department, such as typing, filing, creating work order jackets, scanning completed work orders, and making travel arrangements. The role also entails general clerical duties like record maintenance, information verification, and data recording.

Requirements

  • High school graduate or equivalent.
  • Proficient data entry capabilities.
  • Ability to speak, read, write, and understand English.
  • Ability to work in a team environment.
  • Proficient in use of a desktop computer, including Microsoft Office products.
  • Must be able to operate a PC, dealer AS400 computer system, all related software, e-mail, calculator, telephone, fax machine, copy machine, and printer.
  • Ability to work with customers in a professional manner and develop/maintain relationships.

Responsibilities

  • Serve as initial contact person, receive and screen calls and visitors.
  • Coordinate the flow of communication through the assigned office in an efficient and effective manner with staff, the general public, businesses, and others, take messages as appropriate.
  • Enter all timecards for technicians.
  • Reconcile all payroll entries before payroll is run biweekly.
  • Perform miscellaneous typing for the service department.
  • Assist with filing from other areas of the shop office.
  • Create work order jackets for all cost centers.
  • Scan completed work orders.
  • Make hotel/flight reservations as needed.
  • Perform a variety of general clerical duties including maintaining and filing records, verifying accuracy of information, and recording information.
