About The Position

The Service Writer/Advisor acts as the key liaison between customers and the service team, managing work orders, coordinating repairs, and ensuring excellent customer service. By collaborating with technicians and internal departments, they help drive efficient repair processes, maintain clear communication, and support overall operational success. The ideal candidate will be bilingual in both English and Spanish.

Requirements

  • Minimum 3 years of experience in a Service Writer role or a related administrative, customer service, or service coordination position.
  • Experience preparing, managing, and processing work orders, repair quotes, and service documentation.
  • Ability to interpret technical information and communicate effectively with customers, technicians, and internal teams.
  • Strong customer service and relationship-building skills with a commitment to delivering an exceptional customer experience.
  • Excellent organizational, time management, and multitasking abilities, with strong attention to detail and accuracy.
  • Proficiency with dealership or service management systems, Microsoft Office applications, and general office administration practices, combined with a positive and collaborative approach to teamwork.
  • High school diploma required
  • Valid driver’s license and satisfactory driver’s abstract required for operational responsibilities
  • Completion of a job-related background check in accordance with applicable laws.

Nice To Haves

  • Mechanical aptitude and/or experience in a heavy equipment, trucking, dealership, or service environment is considered an asset.
  • post-secondary education in business, automotive/heavy equipment, or related preferred
  • Commercial driver’s license Class “A” or Class “B” an asset

Responsibilities

  • Serve as the primary customer contact, providing professional support in person, by phone, and by email.
  • Document customer concerns, service requirements, and repair symptoms accurately and thoroughly.
  • Collaborate with technicians to prepare repair quotes, establish timelines, and obtain required customer and internal approvals.
  • Create, maintain, update, and close work orders accurately to ensure correct billing, timely processing, and customer satisfaction.
  • Verify warranty eligibility and documentation using company systems to maximize claim accuracy and compliance.
  • Schedule service appointments, manage shop capacity, and participate in regular work order review meetings.
  • Conduct daily shop walkthroughs to monitor repair progress, parts availability, and delays, and communicate updates to customers.
  • Coordinate with factory representatives, vendors, and subcontractors to expedite repairs, minimize downtime, and manage sublet work.
  • Issue purchase orders, monitor accounts payable requests, communicate with accounting regarding repair authorizations, and maintain compliant transportation records.
  • Support payroll reporting, monitor rental equipment maintenance requirements, resolve customer concerns, and perform additional administrative and operational duties as assigned.
