The Service Specialist is a key member of the team responsible for providing administrative and operational support to clients. Responsibilities may include copy and print services, mail services, hospitality support, facilities coordination, and receptionist duties while maintaining a professional and customer-focused environment.

Requirements

  • High School Diploma or GED required
  • Minimum of one (1) year of experience in a customer service or administrative support role
  • Strong multitasking and organizational skills with attention to detail
  • Excellent problem-solving, communication, and interpersonal skills
  • Ability to lift or move up to 40 lbs. or more when necessary
  • Ability to safely transport packages using a standard wheeled cart with a load capacity of up to 75 lbs.
  • Ability to stand, walk, bend, kneel, or sit for extended periods of time

Responsibilities

  • Process, sort, meter, and distribute incoming and outgoing mail and accountable packages according to established schedules.
  • Accurately complete copy, print, and scanning requests in accordance with written instructions and quality standards.
  • Answer and direct incoming telephone calls professionally.
  • Greet, announce, and assist visitors in a courteous and welcoming manner.
  • Coordinate the setup and maintenance of client conference rooms, kitchens, and common areas.
  • Ensure all rooms are clean, organized, stocked, and prepared for continuous use.
  • Maintain inventory levels and order supplies as needed.
  • Oversee the organization and upkeep of copy rooms and general office supply areas.
  • Manage paper deliveries and perform basic daily maintenance tasks.
  • Assist with small office moves, hanging pictures, and coordinating cleaning services.
  • Communicate with client contacts regarding building or equipment-related concerns.
