About The Position

This critical role reports to the Project Manager and serves as the organizational hub of the service department, providing overall administrative support. The Service Operations Coordinator will coordinate technician scheduling, assist with service-related communications, and ensure complete operational readiness for upcoming work. By maintaining workflow efficiency, this role directly ensures that technicians have the information and materials they need to execute world-class marine service on time.

  • Experience supporting project managers or field service teams is highly valued
  • Ability to manage multiple active projects, track follow-ups consistently, and coordinate schedules and parts without dropping the ball
  • Strong computer skills are essential
  • Highly proficient with Microsoft Office, email (Outlook), scheduling tools, and tracking workflow data accurately
  • Takes ownership of tasks, flags risks early, and provides clear information to support decision-making
  • Demonstrates a professional, respectful, and calm communication style, fostering strong collaboration with technicians, the Project Manager, Parts Manager, and Service Advisors

Nice To Haves

  • Technical diploma in the Marine Mechanical Technician or related field is preferred
  • Diploma or certificate in Project Coordination or Operations Management is an asset
  • Basic technical knowledge of marine systems and/or the ability to safely drive and operate boats is considered a strong asset

Responsibilities

  • Assist the Project Manager with technician schedules, publish daily assignments, review Purchase Orders (POs) and Repair Orders (ROs) for accuracy, and communicate priority changes to the team
  • Confirm parts availability for all work scheduled, coordinate with the Parts Department, and proactively escalate shortages or delays to prevent service disruptions
  • Verify logistics for mobile service work, including boat locations, marina slips, and key access
  • Occasionally attend vessels with the Project Manager to capture measurements and photographs, or participate in sea trials
  • Track technical issues identified through technician quality control checklists, document verbal instructions, and prepare consolidated issue summaries for the Project Manager
  • Review weekly delivery schedules, verify labour lines on repair orders, identify incomplete work items, and ensure all tasks are finished before customer delivery
  • Maintain organized records, manage follow-up reminders, print POs for supervisors, and adapt quickly to changing operational priorities or workload demands
  • Participate in identifying hazards, reporting risks, implementing safety procedures, and ensuring the absolute safety of staff and client vessels
