Requirements

  • Bachelors degree or comparable experience
  • 3 yrs Lead exp
  • 4 yrs physician practice exp

Responsibilities

  • Works with the director to oversee the operations of multispecialty Service Line practices on a daily basis to ensure accuracy and completeness of duties.
  • Supervises staffing, productivity, billing and all other core functions within the Practices.
  • Reviews reports using collected data and other pertinent information, including billing reports and collection reports, financial and trending reports and present issues/suggestions to AVP and Director.
  • Provides monthly summary of all multispecialty practice operations (staffing, financial reports, billing and collection reports) to AVP/Director for presentation during monthly operating review meetings with physicians.
  • Conducts monthly staff meetings with Director of the multispecialty practice staff to keep them aware of any changes on office policy or procedures or administrative directives.
  • Supports practice by possessing a full understanding of scheduling, front desk, insurance verification, and billing/batch functions and covering these positions as needed.
  • Reviews and monitors Kronos to ensure overtime is approved prior to occurring.
  • Monitors clock in and out for all staff.
  • Prepares check requests as needed and ensures Physician Administration receives request in a timely manner.
  • Responsible for completing and submitting Audit Tracer, Time Study sheets, pharmacy check list and all other forms as required by Physician Administration.
  • Responsible for ensuring that par levels of office and medical supplies are kept.
  • Daily communication with Administrative team outlining Practice issues/concerns and development of plan of action to address problems and make regular recommendations to AVP/Director regarding process improvements in the practices.
  • Maintains accurate physician time off, on call and conference schedules.
  • Ensures that Physician Administration receives and approves in advance and maintains in physician calendar.
  • Evaluates and completes employee job performance evaluations in a timely and accurate manner.
  • Monitors the cash controls of the multispecialty practices to ensure management of Petty Cash and Receipts are in compliance with practice policy.
  • Reviews weekly deposits to identify trends in delays in daily deposits.
  • Resolves problems and concerns of all staff, patients, visitors and physicians with confidence and control in a timely manner.
  • Works closely with the Revenue Integrity/Business Office to address issues / trends related to coding, compliance, denials, A/R etc.
  • Ensures Joint Commission compliance in the practice, including but not limited to sample drug logs, cleaning log, completeness of patient records including Ambulatory Summary Records.
  • Executes on the operational and strategic plan for the specific service line.
  • Manages the development of strategy by leveraging organizational strengths and relationships.
  • Evaluates existing structure to ensure the continued support for the future growth of services.
  • Serves as the leader for the service line by being the liaison with all other departments.
  • Provides administrative direction of the overall operations of the service line.
  • Collaborates with regional leaders, clinicians and physicians to provide oversight of clinical and operational practices.
  • Collaborates with department leaders, physician leaders, and administrative leaders to develop a robust integrated service line.
  • Works towards integrating services lines, enhancing physician engagement, and improving patient and operational outcomes.
  • Provides oversight over the service line ensuring a hyper-focused, data driven approach towards quality and operational performance.
  • Operationalizes community and network development opportunities.
  • Develops relationships with community physicians to increase capacity.
  • Performs other departmental specific job responsibilities as needed.
