About The Position

Our Service Lead is responsible for managing and supporting the network of subcontractors, vendors, and service providers essential to project execution and company operations. This role involves coordinating with subcontractors, ensuring compliance with contract terms, monitoring performance, and fostering strong professional relationships. Working with the Sourcing team, the Service Lead coordinates with the Project Management team in optimizing subcontractor performance, ensuring high-quality outcomes, and maintaining effective communication between all parties involved.

Requirements

  • Bachelor’s degree or commensurate work experience.
  • 1-3+ years of experience in a support role with a construction or related field.
  • Basic knowledge of construction or project management practices is a plus.
  • Ability to manage project management timelines.
  • Open-minded with a passion for learning or applying a wide range of skills within a project management structure.
  • Proficient in Microsoft Word, Excel and Power Point.

Nice To Haves

  • Experience in Asphalt and/or Concrete, a plus.
  • Experience in NetSuite, a plus.

Responsibilities

  • Serve as the main point of contact for assigned client accounts, ensuring strong relationships and customer satisfaction.
  • Qualify new job requests by gathering critical information (e.g., site details, photos, budgets, deadlines, and contacts).
  • Secure subcontractor compliance with customer-specific requirements and company protocols.
  • Coordinate project timelines and schedules with subcontractors, site-level contacts, and corporate client representatives.
  • Estimate costs, calculate markups, and prepare detailed proposals and presentations for timely delivery.
  • Ensure client portals and internal systems are updated with current project status and documentation.
  • Collaborate with subcontractors to secure pricing, schedules, and required compliance documents.
  • Issue purchase orders (POs) to ensure proper approvals and alignment with company policies.
  • Collect and organize invoices, completion photos, sign-offs, and other job-specific documentation.
  • Negotiate subcontractor agreements, including terms, pricing, and scope of work, to ensure favorable conditionals and project success.
  • Negotiate win-win-win solutions and favorable terms and support for growing the business.
  • Write, edit, and format all RFQ/Proposal deliverables while maintaining on-time execution.
  • Identify, Source, Evaluate, and Select subcontractors based on their expertise, performance history, and ability to meet project requirements.
  • Act as the single point of contact for contractor bid sourcing in an assigned territory.
  • Proactively weigh decisions, recommendations, and actions against their material impact on the bottom line.
  • Understand the economics of the processes and align contractor selection and resources accordingly for client delivery.
  • Regularly assess subcontractors’ performance against contract terms, quality standards, and project specifications, addressing any issues or deviations promptly.
  • Ensure subcontractors comply with relevant regulations, safety standards, and company policies. Conduct audits and inspections as necessary to maintain compliance.
  • Act as a liaison between Subcontractors, Sourcing and Project Management teams, facilitating smooth communication and coordination to ensure project goals are met.
  • Address and resolve any subcontractor-related issues or conflicts that arise during the course of a project, working collaboratively with all parties involved.
  • Maintain accurate records of subcontractor performance, contracts, and communication. Ensure all necessary documentation is completed and filed correctly.
  • Conduct regular performance reviews of subcontractors, providing feedback and recommendations for improvement where needed.
  • Working closely with the Project Managers, monitor the quality of subcontractor work, ensuring it meets the company’s standards and project requirements. Implement corrective actions if quality issues arise.
  • Aids in coordination with the Sourcing team, assist in preparing and submitting reports on subcontractor performance, compliance, and any issues or incidents.
  • Provides coordination efforts with the Project Managers and Sourcing Team, ensure databases and records related to subcontractors are maintained including contact information, performance metrics, and compliance status.
  • Maintain close, positive working relationships with all staff and colleagues.
  • Represent the company favorably to customers and vendors at all times.
  • Follow existing procedures, including accounting procedures, and provide feedback for improvement whenever possible.
  • Be willing to “step up” to positively lead colleagues and subordinates.
  • Perform ad-hoc projects and other duties as assigned.
  • Participate in required training and certifications to stay current with industry standards and company practices.
