This critical position maintains and elevates systems of organization, schedules complex and time-sensitive projects, and ensures smooth and efficient operations. Requirements

  • High School Diploma or GED
  • 3+ years of administrative-level experience
  • Proficiency with Microsoft Suite (particularly Excel) and Google Suite (particularly GSheets)
  • A keen eye for detail and the capacity to maintain accuracy in repetitive tasks
  • Affinity for developing and maintaining standardized and multi-step processes including rigorous follow-up
  • Ability to prioritize tasks effectively, manage multiple projects simultaneously, and meet deadlines consistently
  • Full-time availability (40 hours per week, 7am start time)
  • Drug screening and background checks will only be conducted after a conditional job offer is made. We evaluate criminal history based on its relevance to the job duties

Nice To Haves

  • Experience in the construction industry or commercial fire alarm tenant improvements is a plus but not required

Responsibilities

  • Manage and optimize complex schedules for field teams, ensuring efficient resource allocation and timely project execution while maintaining flexibility to accommodate urgent customer requests and changing priorities
  • Own back-office functions, answer phones for urgent customer needs, draft communications and prepare work orders
  • Serve as the communication hub between field personnel, customers, and government agencies
  • Craft, process and organize reports and reporting systems for our inspection, testing and service teams
  • Build proficiency on the Google Drive platform and in our construction software (Viewpoint/Spectrum)
  • Work alongside a close-knit team to manage daily operations, including fielding incoming service calls, while continually brainstorming ways to improve process efficiency
