About The Position

As part of the GCA team and the broader Tech24 network, the Service Coordinator plays a key role in supporting daily service operations and project coordination. This position works closely with project managers, technicians, subcontractors, and customers to ensure projects and service work are scheduled, documented, and completed efficiently. The Service Coordinator is responsible for managing schedules, tracking project progress, coordinating resources, and maintaining clear communication between internal teams and customers. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced service environment.

Requirements

  • 2-3 years of experience in service coordination, project coordination, dispatching, or administrative support required
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple tasks and priorities in a fast-paced environment
  • Strong verbal and written communication skills
  • Strong problem-solving skills and ability to work under pressure
  • Proficient with Microsoft Office and general computer systems
  • Ability to work both independently and collaboratively with a team
  • Dependable, professional, and customer-focused
  • Self-motivated with the ability to follow through on responsibilities with minimal supervision

Nice To Haves

  • Experience in HVAC, refrigeration, construction, or foodservice service industries is a plus

Responsibilities

  • Coordinate service projects and support project managers with scheduling, documentation, and communication
  • Monitor project progress and prepare status updates and reports for leadership
  • Assist with scheduling technicians, subcontractors, and other resources to support project timelines
  • Coordinate communication between project managers, technicians, subcontractors, and customers throughout the project lifecycle
  • Maintain and manage project documentation including project plans, schedules, and scope details
  • Support administrative tasks including billing coordination, invoice reconciliation, and expense tracking
  • Issue purchase orders to vendors, suppliers, and subcontractors as needed
  • Coordinate equipment deliveries, materials, and job readiness with customers and vendors
  • Facilitate subcontractor coordination and payment processing as required
  • Communicate directly with customers to confirm scheduling, readiness, and project updates
  • Build and maintain professional relationships with equipment dealers, customers, and subcontractors
  • Update service activity, estimates, and status updates within customer portals when required
  • Ensure safety standards and company policies are followed by all team members involved in the project
  • Utilize Company software and Microsoft Office tools to track and manage work orders
  • Communicate project changes or updates to appropriate team members and leadership
  • Maintain organized project records and ensure documentation accuracy
  • Perform other duties as assigned to support service and project operations
