About The Position

As a Service Coordinator, you will play a pivotal role in ensuring the efficient and timely flow of tools for repair, while serving as a key point of contact for both customers and internal teams. Your primary duties will include managing shipping and receiving operations, maintaining communication channels, preparing quotes, and supporting customers throughout the repair process. This role requires strong organizational skills, attention to detail, and a customer-first mindset.

Requirements

  • Minimum of a High School Diploma or GED equivalent.
  • Experience with ERP software, Acumatica is preferred.
  • Proficiency in Microsoft Office suite.
  • Exceptional attention to detail and strong organizational skills, with the ability to prioritize tasks effectively.
  • Team driven mindset with focus on collaboration, communication and collective success.
  • Excellent verbal and written communication skills.
  • Outstanding organizational abilities with a focus on maintaining high-quality standards.
  • Capacity to thrive in a fast-paced environment, managing multiple tasks under deadlines.
  • Must be able to lift up to/over 50 pounds.

Nice To Haves

Responsibilities

  • Serve as the primary point of contact for customers regarding repair status, pricing, and general inquiries.
  • Demonstrate excellent customer service with proactive mindset and problem-solving skills.
  • Generate and manage repair quotes and order conversions ensuring timely approval and processing of customer orders.
  • Resolve administrative issues and communicate clearly and professionally through email and phone to internal and external inquiries.
  • Partner with technicians, vendors, and Sales Engineers throughout North America to ensure smooth workflow and customer satisfaction.
  • Provide quotations for onsite field service and maintain schedules for personnel and resources.
  • Support continuous improvement in service processes and customer experience.
  • Ensure all repair jobs are documented accurately in the ERP system (e.g., Acumatica).
  • Coordinate the intake, tracking, and return of tools sent in for repair.
  • Oversee daily shipping and receiving activities, maintaining accuracy and timeliness.
  • Maintain and organize inventory of shipping and repair supplies.
  • Perform other duties as assigned by the Service Coordinator Manager.
