About The Position

Rite Rug has been one of the top privately owned flooring companies for over 90 years! We are looking for a organized, detail oriented Service and Warranty Coordinator to join our team! This position interacts with customers to provide and process information in response to inquiries, concerns, and requests about services, installations, and warranty work.

Requirements

  • Have earned a minimum of a High School Diploma or equivalent.
  • Be able to multi-task and prioritize the duties required.
  • Exhibit effective oral and written communication skills.
  • Possess excellent time management skills.
  • Have the ability to work independently in a fast-paced environment.

Responsibilities

  • Establish professional working relationships with customers.
  • Create work orders through RFMS, which include product lines, labor, and invoice lines.
  • Create work orders and process paperwork needed for claim issues.
  • Collect claimable material samples from the field representative to send via mail, as needed.
  • Work with the purchasing department and vendors to track each job’s material status before scheduling.
  • Move materials from job to job or re-order materials if needed, to eliminate delays.
  • Work with the warehouse team to locate materials if there are discrepancies.
  • Work with the estimating team about work sheet and diagram discrepancies.
  • Work with the estimating team to get proper quantities for full and partial replacements.
  • Utilize the sales and management teams with product and price questions or escalated issues with customers.
  • Work with the field representative about every job and all repairs needed through Podio.
  • Create and manage Outlook Evites for occupied field inspections and oversees.
  • Log into multiple customer portals to retrieve information, request PO #’s and communicate.
  • Positive and professional verbal and written communication with the customer about delays and on-time scheduling.
  • Ensure profitability with each job, as applicable.
  • Schedule jobs through RFMS Schedule Pro - when confirmed ready by the field team and customer.
  • Print pick tickets for all jobs in schedule pro and deliver to the warehouse timely.
  • Collect and ensure paperwork is complete with diagrams and has proper verbiage for the specific job.
  • Work with the installation team about late changes to the schedule and installer issues.
  • Process change-orders if the original job has left the warehouse.
  • Answer questions about job billing from the A/R department.
  • Investigate and process customer back charges appropriately via A/R notifications.
  • Exhibit time management and shows organizational skills with the established processes.
  • Answer and reply to all phone calls and emails timely.
  • Attend meetings and training sessions.
  • Cross-train to assist other departments as needed.
  • Exhibit exceptional teamwork, both internally and externally with customers.
