About The Position

This role is responsible for managing all incoming customer calls, including service dispatching, tracking, and scheduling. The Service Coordinator will also handle call status tracking, call changes, entering new sites, collections, modifying existing sites, and general inquiries. This position may involve providing support and backup for other business areas and handling calls after hours. Key responsibilities include creating and dispatching work orders in iCare, attending planning sessions, reconciling service paperwork, and performing timesheet data entry. The role also involves scheduling Service Agreement work orders, monitoring subcontractor pricing, processing invoices, and managing work order purchase order requests. Additionally, the Service Coordinator procures parts and materials, provides service quotes with supervisor assistance, performs monthly billing, and participates in AR DSO calls to ensure timely collection of open service accounts receivable. Under supervision, this role schedules Preventative Maintenance and Test & Inspect work, ensuring timely communication with customers and subcontractors. It may also involve providing specialists with site access and badging, and performing other duties as assigned.

Requirements

  • Handles all incoming customer calls including service dispatching, tracking and scheduling of calls, call status tracking and call changes, entering new sites, collections, modifying existing sites and handling all general enquiries.
  • Creates and dispatches work orders in iCare daily for scheduling of planned maintenance and service.
  • Attends weekly planning sessions; conducts weekly service paperwork reconciliation; performs weekly timesheet data entry.
  • Schedules Service Agreement work orders as required.
  • Monitors and follows up on subcontractor pricing; processes and approves invoicing.
  • Accurately and promptly communicates/processes work order purchase order requests.
  • Procures Parts/Materials for service work orders.
  • Provides Service Quotes to customers with the assistance of the supervisor.
  • Performs monthly billing of T&M, service agreements, and box sale work orders as required.
  • Participates in weekly/monthly AR DSO phone calls and provide support documentation as required to ensure timely collection of open serivce AR.
  • Under supervision from the SAR/SS, schedules Preventative Maintenance / Test and Inspect (and other SA work as required) – this includes ensuring timely communication with contract customers, key customers and sub contractors.
  • May provide Specialists with badging and access to customers sites. Work with specialist supervisor to ensure that badging is documented/recorded.
  • Performs other duties and responsibilities as requested or required.
