In the Azalea Patient Access call center, a Service Center Representative schedules new patients for appointments accurately and with excellent customer service. Other duties and qualities needed include above-average attention to details and accuracy when recording patient information, electronically recording necessary data for entering new patients into the practice management system, and scheduling patients accurately and appropriately on physician’s schedule. The role also involves responding to incoming faxed referrals by calling and scheduling patients, scheduling worker’s compensation referrals by getting physician approval, obtaining authorizations from adjusters, accurately documenting all required/received information, calling and scheduling those referrals, making necessary notes in the patient account, and implementing the patient credit card on-file policy. Additionally, the representative will obtain necessary referral and/or authorizations for scheduled appointments dependent on insurance and as necessary, accurately document those referrals, answer a high quantity of incoming calls, follow procedures to handle those calls, and return messages in a timely manner. A friendly attitude that reflects care for the patient and others in the practice, the ability to communicate this care to patients, and maintaining patient privacy are essential. The role requires clear communication with physicians, PA’s, NP’s, clinical staff, and supervisors to provide feedback on potential problems with schedules, records, outside physicians, and patients.
