About The Position

Responsible for interacting with service customers and making sure each of our customers had a truly extraordinary visit.

Requirements

  • High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • While performing the duties of this Job, the employee is regularly required to sit, stretch, reach, bend, twist, turn, handle and stoop.
  • The employee is frequently required to talk or hear.
  • The employee must occasionally lift and/or move up to 25 pounds.

Responsibilities

  • Answer incoming service calls and schedules service appointments or take messages for advisors.
  • Checks service department voicemails.
  • Monitors texting platform and responds to customers.
  • Make follow up calls to automated texts that were not responded to from manufacturer.
  • Call/text special order customers to schedule appointments.
  • Call and set up all we owe appointments and track on a google document.
  • Call/text customers with recalls and schedule them for service.
  • Prepare for next days appointments.
  • Verify parts are here and loaner cars available.
  • Document repeat repairs on appointment with special flag and let manager know via email.
  • Flag all special order parts.
  • Help advisors when possible: fax documents for payment, take warranty payments, etc.
  • Greets customers who walk into the service drive and determines the nature of their visit and obtains basic customer information, if needed.
  • Answers basic customer inquiries.
  • Refers more extensive inquiries to the appropriate person.
  • Directs customers to the correct department, notifies the appropriate team member that a customer is waiting, or introduces the customer to the correct team member.
  • Calls customers when license plates arrive.
  • Mail license plates to customers if requested by customer.
  • Makes new car packets and key tags.
  • Keep customer areas clean and orderly during hours of operation.
  • Fill/Refill coffee machine, waiting room snacks and bottled water.
  • Reorders supplies as needed.
  • Other duties as assigned.
